SUMMARY  

The Administrative Specialist works either alone or with other team members in the timely and efficient work associated with the administrative functions of their assigned area.  The Administrative Specialist is responsible for supporting administrative interaction with the public, fellow team members, service/supply vendors and internal/external stakeholders.  Maintains a professional and supportive environment with all interactions.  The position’s goal is to efficiently complete the targeted administrative tasks in the assigned work function. 

DUTIES AND RESPONSIBILITIES · Organizes and prioritizes administrative workflow for the assigned area or function.  · Organizes, prioritizes, and executes in the completion of all administrative functions of the assigned office area. · Coordinates all record keeping, posting, information requests, administrative charges, invoicing, membership management and other similar administrative actions. · Communicates with internal stakeholders to ensure compliance with all administrative standards. · Compile reports, analyze data and take appropriate actions or recommend that action be taken.  · Maintain company files and records and aid in the completion of regulatory, administrative and/or financial reporting in assigned work areas.  · Research and complete special projects.  · Work with the Department Manager or assigned Lead to accomplish assigned tasks and projects. · Assistance with incoming calls, subscription program, and the general operations of the business office. · On financial matters, has dual reporting responsibility to both the Department Manager and Company Controller.  · Other duties as assigned. · Daily cash reporting. · Cash posting using Excel/Access and company software programs. · Post denials to patient accounts. · Working knowledge of EOB’s, EFT’s and ERA’s. · Balance payments posted back to the original deposit amounts. · Transfer copay/coinsurance and deductible balances to patient responsibility. · Post contractual adjustments to patient accounts. · Batch posting/processing for all credit types including payments, refunds, denials, collections, and write-offs.  

MINIMUM QUALIFICATIONS 

Education and Experience:  

High School Education required. Three years of customary administrative office experience preferred. Medical Office experience preferred. 2 years previous experience in medical cash posting preferred. 

Skills and Proficiencies 

Ability to research, analyze and manage various administrative and/or accounting functions.  Ability to read and understand EOBs, EFTs, and ERAs. Provide accurate and timely communication in both written and verbal form.  Effective knowledge of EMS and/or administrative duties desired. Accurate typing at least 30 wpm. Proficient in oral and written communications, especially telephone. Highly proficient in the use of computers. Excellent Excel skills. 

Certifications: None required  

PHYSICAL REQUIREMENTS Occasionally: Walking outside, lifting, pushing, pulling, reaching, balancing, carrying, kneeling, stooping, bending, leaning, sitting, flexibility, driving car. 

Frequently: Touching, typing, climbing, multiple physical activities performed at the same time. 

Constantly: Hearing/listening, clear speech, walking inside, seeing.  

WORKING CONDITIONS: Constantly: Works alone, with others, around others, face-to-face and verbal contact with others, extended day, inside.  

MENTAL REQUIREMENTS Constantly: Simple reading and writing, complex reading and writing, clerical, memorization, analyzing, perception/computation, problem solving, simple math skills, judgement, reasoning, decision making.  

EQUIPMENT USED Constantly: Telephone recording equipment, facsimile, computer/typewriter, keyboard, telephone, copy machine, stapler, 3-hole punch, stamping, sharpener.
