Duties
- Greet visitors, answer multi-line phone systems, and direct calls with professionalism and courtesy using proper phone etiquette.
- Manage front desk operations, including handling mail, deliveries, and office supplies inventory.
- Maintain accurate records through data entry, filing, proofreading, and document management using Microsoft Office and Google Workspace applications.
- Oversee calendar management and scheduling for meetings, appointments, and events to ensure efficient time management.
- Support bookkeeping tasks such as invoicing, expense tracking, and basic QuickBooks entries to assist with financial record keeping.
- Provide exceptional customer service by assisting clients or patients in person or via phone support in a bilingual capacity if applicable.
- Coordinate office management activities including organizing files, maintaining office equipment, and ensuring a clean and safe working environment.
Qualifications
- Proven experience in office administration or clerical roles with strong organizational skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace tools, and basic computer literacy.
- Experience with multi-line phone systems and excellent phone etiquette skills.
- Ability to perform data entry accurately with a high level of typing speed.
- Previous experience in customer service or customer support roles is highly desirable.
- Knowledge of bookkeeping or basic financial management using QuickBooks is a plus.
- Bilingual abilities are preferred to effectively communicate with diverse clients or team members.
- Strong organizational skills with the ability to prioritize tasks efficiently while managing multiple responsibilities simultaneously.
