Duties
- Greet visitors warmly, answer multi-line phone systems efficiently, and direct calls with professional phone etiquette.
- Manage front desk operations including scheduling appointments, maintaining calendars, and coordinating meetings.
- Handle data entry tasks accurately using spreadsheets, Microsoft Office applications, and Google Workspace tools.
- Maintain organized filing systems, process incoming and outgoing correspondence, and ensure documents are proofread for accuracy.
- Support office management activities such as inventory tracking and supply ordering.
- Assist with client communication by providing excellent customer support via phone, email, or in person.
- Perform clerical duties including photocopying, faxing, word processing, and maintaining office cleanliness to promote a productive workspace.
Skills
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel), Google Workspace, and productivity software.
- Excellent organizational skills with the ability to multitask effectively in a busy environment.
- Experience with multi-line phone systems and professional phone communication skills.
- Bilingual abilities are a plus to serve diverse client needs effectively.
- Previous office experience including data entry, filing, and clerical tasks is highly preferred.
- Knowledge of medical or dental receptionist duties is advantageous but not required.
- Demonstrated ability in time management, proofreading, and maintaining high levels of accuracy in all tasks.
