Position Details:

Overview:
The Institutional Research Analyst supports the collection, validation, analysis, and reporting of institutional data used for accreditation, compliance, assessment, planning, and institutional effectiveness.
This entry-level role assists in producing reports, dashboards, surveys, and data analyses that support academic and administrative decision-making, program review, and external reporting requirements. The position helps ensure accurate, timely, and consistent data is available to support institutional planning, accreditation evidence, and continuous improvement efforts across the College
Job Responsibilities:
Institutional Data Collection, Validation, and Quality Management
- Collect, validate, clean, reconcile, and maintain institutional data from the student information system, survey platforms, dashboards, internal databases, assessment systems, and other institutional data sources.
- Assist with the development, maintenance, validation, and improvement of institutional datasets, recurring reports, dashboards, and data files used for external reporting, accreditation, assessment, strategic planning, and institutional effectiveness.
- Perform data validation, reconciliation, and quality assurance review to support consistent, accurate, and repeatable reporting of enrollment, retention, progression, graduation, and other institutional effectiveness metrics.
- Maintain data documentation, metric definitions, data dictionaries, metadata, change logs, submission timelines, validation logs, and reporting logic for recurring reports, dashboards, accreditation evidence, and external reporting submissions.
- Identify data inconsistencies, gaps, or limitations and bring forward recommendations to improve data quality, reporting accuracy, documentation, and decision-support.
External Reporting, Compliance Reporting, and Accreditation Support
- Support mandatory and voluntary external reporting, including IPEDS, WSCUC, CCE, state, federal, professional association, survey, ranking, and other required or requested data submissions.
- Assist with the preparation, validation, documentation, and submission of institutional data to external agencies and accrediting bodies.
- Support accreditation reporting by compiling, organizing, validating, and summarizing evidence related to institutional performance, student achievement, assessment, planning, and institutional effectiveness.
- Maintain submission calendars, source documentation, reporting instructions, validation notes, and audit trails for recurring external reports and accreditation-related data products.
- Assist in ensuring that external reporting is accurate, timely, clearly documented, and aligned with institutional definitions and approved data sources.
Survey Research, Assessment, and Evaluation Support
- Support survey projects by developing survey instruments, preparing contact lists, monitoring response rates, cleaning survey data, analyzing results, and preparing summaries for campus stakeholders.
- Assist with assessment-related data collection and reporting, including student learning outcome assessment, co-curricular assessment, departmental assessment, and institutional effectiveness measures.
- Prepare survey reports, charts, dashboards, and executive summaries that communicate results clearly and appropriately to technical and non-technical audiences.
- Maintain survey documentation, instruments, data files, codebooks, response-rate summaries, and analysis notes to support repeatable and auditable survey practices.
Dashboards, Reporting, and Decision-Support Products
- Assist in developing and maintaining dashboards, recurring reports, data tables, visualizations, and decision-support tools for institutional leadership, academic leaders, governance bodies, departments, committees, and external reporting needs.
- Produce routine and ad hoc analyses to answer institutional, academic, administrative, accreditation, assessment, student success, and operational questions while ensuring findings are accurate, replicable, and clearly documented.
- Prepare concise summaries, briefs, visualizations, and presentations that clearly communicate findings, limitations, implications, and recommended next steps for technical and non-technical audiences.
- Respond to routine data requests by clarifying the request, identifying appropriate data sources, validating results, documenting methods, and presenting results in a usable format.
- Support the development of standard report templates, recurring analyses, and institutional dashboards that reduce rework and promote consistent use of institutional data
Required Qualifications:
- Bachelor’s degree in data analytics, statistics, information systems, computer science, social sciences, or a related field
- 1 year of experience working with data (including internships, student work, research assistant roles, or entry-level professional experience)
- Basic ability to collect, clean, analyze, and summarize data
- Strong attention to detail and ability to manage multiple tasks and deadlines
- Good communication skills, including the ability to explain data in a clear and simple way
- Ability to work collaboratively with different teams and levels of technical experience
- Comfort working with confidential or sensitive information
Preferred Qualifications:
- Experience in higher education, institutional research, or reporting (IPEDS, accreditation, or similar)
- Experience with surveys, data reporting, or assessment projects
- Familiarity with Excel or other basic data tools (e.g., SPSS, SQL, R, or Python is a plus but not required)
- Exposure to survey tools (e.g., Qualtrics or similar platforms)
- Experience creating basic reports, summaries, or visualizations (e.g., Excel charts, dashboards, or Power BI/Tableau is a plus)
- Understanding of data accuracy, documentation, and confidentiality best practices
- Interest in higher education reporting, accreditation, or institutional effectiveness
