We are seeking a proactive and detail-oriented Executive Administrator to join our dynamic team and support the Executive team. This role is crucial and plays a vital role in supporting Liberty Home Guard’s administrative and operational functions. This position provides cross-departmental assistance, manages essential business processes, and ensures the smooth execution of office operations and customer-related administrative tasks. Success in this role means executives are better prepared, better organized, and able to operate at a higher level because this person has already anticipated needs, removed friction, and ensured follow-through.
Your duties and responsibilities include but are not limited to the following:
- Serve as the primary point of contact for executive scheduling; manage complex calendars with foresight, prioritization, and autonomy, ensuring alignment with strategic objectives.
- Proactively identify and resolve scheduling conflicts, enabling leadership to focus on high-priority initiatives and business outcomes.
- Act as a gatekeeper for executive time by screening requests, prioritizing meetings, and ensuring leadership attention is directed toward the highest-value matters.
- Prepare executives for meetings by compiling agendas, background materials, talking points, and decision-making documents in advance.
- Arrange complex domestic and international travel, developing detailed itineraries and anticipating logistical needs for executives and senior staff.
- Attend select executive and leadership meetings to document detailed action items and ensure timely follow-through.
- Offer support to Office Admin and oversee day-to-day office operations, maintaining high-functioning workflows for supplies, inventory, logistics, and team apparel coordination.
- Ensure an exceptional in-office experience by managing workplace amenities, including refreshment stock, vendor relationships, and hospitality initiatives.
- Manage and triage executive inboxes and communications, drafting responses, flagging urgent matters, and ensuring timely follow-up.
- Lead vendor engagement and negotiation for office and event services to optimize cost-efficiency and service quality.
- Organize and manage internal events, executive off-sites, and team-building initiatives from planning to execution.
- Execute special projects at the discretion of executive leadership, often involving confidential or sensitive company matters.
- Track key deliverables, deadlines, and follow-up items across departments, holding owners accountable and escalating risks when needed.
- Translate high-level executive direction into organized next steps, assignments, and timelines for internal stakeholders.
- Anticipate executive needs by identifying gaps, preventing bottlenecks, and solving problems before they disrupt operations.
- Coordinate signatures, approvals, and other administrative workflows requiring executive review, ensuring nothing falls through the cracks.
- Handle executive-level and personnel-related communications with utmost discretion and professionalism.
- Provide light personal assistance to executives to support optimal time management across personal and professional spheres.
- Maintain predictable and punctual attendance to ensure continuous operational support and team collaboration.

Availability & Flexibility
- While this is primarily a full-time, Monday–Friday role, the nature of executive support may occasionally require availability outside of standard working hours (including evenings or weekends).
- Flexible availability is expected to accommodate urgent requests, time-sensitive projects, or last-minute changes to executive travel or schedules.
- All additional hours worked beyond the scheduled workweek will be compensated appropriately, in accordance with company policy and local labor laws, including applicable overtime pay.
