Tourism Program Coordinator
Hours: 40 hours weekly; occasional nights and weekends
Reports to: CEO/COO

Position Summary
The Tourism Program Coordinator provides administrative, logistical, and operational support across tourism, marketing, and community engagement initiatives. This role is responsible for coordinating programs, managing materials and inventory, supporting events, and ensuring the day-to-day readiness of public-facing spaces.
The Tourism Program Coordinator supports marketing and tourism efforts through execution and coordination, including capturing photos and videos as assigned. Content strategy, publishing, calendars, and analytics are led by the Creative & Content Coordinator.
Core Responsibilities
Administrative & Office Coordination
- Answer and route incoming phone calls and general inquiries
- Maintain shared files, calendars, and internal documentation
- Support office protocols, prioritization systems, and daily operations
- Coordinate schedules, logistics, and materials for meetings, programs, and events
- Assist with ChamberMaster, EZText, bulk email distributions, and internal systems as assigned
- Coordinate and prepare bulk mailings, including assembly, labeling, and scheduling
Events, Tours & Program Logistics — Expanded
In addition to general event and tour support, the Tourism Program Coordinator is responsible for coordinating logistics and execution for the following recurring and signature initiatives:
- Travel and Tourism Week
- CVB Progress Through People Luncheon (October)
- Tourism Day at the Capitol (first quarter)
- CVB Happy Hour (December)
- New Teacher Orientation
- Hinesville Area Board of Realtors vendor event
- Leadership Liberty Tourism Session – ideation support, logistical planning, and execution
Responsibilities include scheduling, materials preparation, partner coordination, on-site support, and follow-up.
Inventory, Materials & Space Readiness
- Manage and track inventory of promotional products, rack cards, and printed materials
- Coordinate reorders and maintain adequate stock levels for events and outreach
- Prepare welcome bags and promotional materials for programs and events
- Stock and maintain the Welcome Center and other shared public-facing spaces, ensuring materials are current, organized, and presentable
Marketing & Content Support (Execution Role)
- Support tourism and marketing initiatives through assigned content execution
- Attend Creative Strategy Meetings and contribute agenda items, ideas, and updates as requested by the Creative & Content Coordinator
- Arrive prepared to Creative Strategy Meetings with:
- Status updates on assigned projects
- Project proposals, ideas, or logistical considerations when applicable
- Capture photos and videos at events, tours, and community activities following established photo and video protocols
- Upload, organize, and share digital assets for use by the Creative & Content Coordinator
- Write, submit and post approximately 26 blog posts per year, following the editorial calendar, topics, tone, and guidelines established by the Creative & Content Coordinator
- Assist with flyer and basic promotional material design as requested, using established templates, brand standards, and tools
- Coordinate drafts, revisions, and deadlines to support timely publishing
Note: Content strategy, editorial planning, publishing, and analytics are led by the Creative & Content Coordinator. The Tourism Program Coordinator contributes through preparation, execution, and coordination.
Planning, Collaboration & Creative Support
- Collaborate with the Creative & Content Coordinator on advance planning for campaigns, events, and seasonal initiatives
- Plan and coordinate bi-annual photoshoots in partnership with the Creative & Content Coordinator, including:
- Scheduling
- Location coordination
- Shot lists and logistical needs
- On-site support
- Provide creative input and logistical recommendations while operating within established brand guidelines and strategic direction
Publications & Long-Form Content Support
- Support CVB publications through assigned article writing and coordination, including:
- Magazine article assignments as directed
- Draft submission, revisions, and deadline coordination
- Assist with gathering supporting materials such as photos, captions, and partner information
Website & Digital Support
- Assist with website updates including calendar entries, gallery uploads, and content revisions as assigned
- Support Explore Georgia listings by ensuring information and photos remain accurate and up to date
- Ensure timely submission of materials and information to support digital accuracy

Experience & Education
- Bachelor’s degree in Marketing, Communications, Tourism, or a related field (or equivalent experience)
- One to three years of experience in administrative coordination, tourism support, event logistics, or a related role preferred
Pay: $16.00 - $19.00 per hour
