Administrative Secretary for Clinical Services
Title: Administrative Secretary – Clinical Services
FLSA: Non-Exempt
Reports To: Assistant Director of Clinical Services
Physical Requirements: Normal
Hours of Work: Full-time, 37.5 hours/week, M-F 9a-5pm Office Environment, Weekend, on-call or holiday work is on an as-needed basis and is minimal.
Pay Range: The pay range is $16.81 to $22.92
Job Summary: The Administrative Secretary performs a variety of administrative and clerical duties to support the Assistant Director, our departmental managers and employees while assisting in the daily needs of the department. The position ensures the submission of and tracks all supporting documentation of billing documents, communicating any concerns to the Assistant Director.
Job Qualifications:
- High school diploma/GED required
- Must possess excellent word processing, Excel, typing and general office skills.
- Must be able to relate well to the general public and the individuals we support.
- Must be able to read, write and speak the English language.
- Valid NYS Driver's License that meets agency standards and reliable transportation.
Essential Duties and Responsibilities:
- Maintain intake and initial documentation for clinic patients.
- Manage the schedule of clinical appointments, including scheduling and verifying that services are billable.
- Manage treatment plans and scripts to ensure they are current, have the appropriate authorization, and are distributed as required.
- Ensure all patient information is current and accurate in the electronic medical records.
- Maintain the regulatory billing tracking system for the Region and maintain spreadsheet of data received.
- Follow-up to ensure all required billing related documentation is received and update existing data as needed.
- Communicate any billing issues to the Assistant Director of Clinical Services.
- Provide support for clinical department with employee time and attendance tracking.
- Provide clerical support to the clinical department as needed.
