Summary
The Real Estate/Facilities Coordinator is responsible for supporting the planning, acquisition, leasing and management of real estate properties across our company, which has over 800 locations. The role involves coordinating with our real estate brokers and serving as liaison between our field locations, legal department, landlords and contractors. The coordinator plays a vital role in supporting our facilities with repairs, expansions, renovations, and relocations to ensure that real estate activities align with the organization’s strategic and operational goals.
Responsibilities
- Assists in the planning, development, and implementation of the goals | objectives of the facilities management department
- Point person for facilities management department / monitor “facilities inbox” and distribute email to appropriate coordinator or director
- Responsible for arranging movers for closing or relocating agencies
- Responsible for setting up or disconnecting utilities for relocations, denovos, acquisitions and closures
- Responsible for all agency signage requirements
- Responsible for obtaining pictures for relocations and acquisitions saved in Facilities Mgmt. shared folder and upload in Prolease
- Mail out executed documents to landlord and update relocation spreadsheet
- Maintain/update collocation monthly report and multi-site allocation spreadsheet
- Assist agencies with landlord issues and follow through to resolution in a timely manner
- Assist with overflow during acquisitions and special projects as needed
- All other duties assigned to this position by the Facility Director
- Must be able to work independently under broad organizational guidelines to achieve objectives with the ability to prioritize tasks & deadlines with minimal supervision.
- Must have excellent organizational & personal communication skills both verbal & written & convey an impression which reflects favorably on the department and the organization.
- Must be able to work at high achievement level and excel in analyzing and adjusting work processes for maximum efficiency with good problem solving skills.
- Computer operational proficiency skills must include know ledge of Microsoft Excel, Word, Power Point.
Education and Experience
- High School diploma or equivalent a Bachelor’s Degree is a plus
- 4 years of working in an organizational operation preferable in the medical industry overseeing Facility based operations.
- Must be able to work independently under broad organizational guidelines to achieve objectives with the ability to prioritize tasks & deadlines with minimal supervision.
- Must have excellent organizational & personal communication skills both verbal & written & convey an impression which reflects favorably on the department and the organization.
