Job Overview
We are seeking a highly organized Office Manager to support the daily operations of our construction company. The ideal candidate will be responsible for invoicing, billing, estimating support, proposal preparation, permit applications, project documentation, and general office administration.
Responsibilities
- Manage daily office operations and administrative functions.
- Prepare invoices, billing statements, and track payments.
- Assist with estimates, proposals, contracts, and project documentation.
- Prepare and submit building permit applications.
- Manage emails, phone calls, and client communications.
- Maintain project records, spreadsheets, and reports using Microsoft Excel.
- Coordinate schedules, meetings, inspections, and project deadlines.
- Support project managers and communicate with clients, subcontractors, vendors, and municipalities.
- Assist with accounts payable and accounts receivable.
Qualifications
- Previous office management or construction administration experience preferred.
- Proficient in Microsoft Office, especially Excel, Word, and Outlook.
- Strong organizational, communication, and multitasking skills.
- Experience with QuickBooks or similar accounting software is a plus.
- Bilingual skills are a plus.
