Job Summary
We are seeking a proactive and detail-oriented Assistant Property Manager to join our dynamic and extremely busy property management office. In this vital role, you will support the day-to-day operations of residential communities, ensuring exceptional customer service and bookkeeping services. Your energetic approach will help foster positive relationships with residents, vendors, and team members while maintaining the property's overall integrity. This position is heavily data entry as you will be responsible for accounts payable and accounts receivable. This position is an in person office position. It does not allow to work from home.
Responsibilities
- You will be responsible for all data entry of accounts payable and accounts receivable. Essential part of the job is to have knowledge of bookkeeping.
- Support rent and Hoa Fee collection processes through data entry, payment processing, and customer relationship management to ensure timely payments.
- Coordinate property maintenance requests and facilities management tasks using AppFolio
- Maintain accurate records
- Handle customer service inquiries via phone and in person with professionalism and courtesy, addressing resident concerns effectively
- Assist in conducting regular conflict management with residents and/or vendors
- Support administrative functions such as filing, data entry, updates, and office organization to streamline operations.
- You will be responsible to answer calls and follow up with vendor issues as well as answer emails
Requirements
- Proven experience in property management or real estate administrative roles.
- Proficiency in property management software such as AppFolio; experience with data entry and office systems like filing is essential.
- Strong customer service skills with excellent phone etiquette and conflict management abilities.
- Ability to negotiate contracts effectively while demonstrating attention to detail in documentation.
- Office experience combined with facilities management knowledge to coordinate property maintenance efficiently.
