ABOUT THE ROLE
This role puts you right at the center of a growing franchise business, where your work directly impacts results every day. The Team Operations AI Lead manages system ordering, oversees AI-assisted communications, and supports day-to-day administrative needs — playing a key role in keeping operations running smoothly across our 10 U.S. locations. Our AI infrastructure is already in place and actively running; your job is to monitor it, QA it, and grow with it as it continues to evolve. No prior AI experience required — we’ll upskill the right person. If you’re sharp, organized, and excited about where technology is taking business operations, this role was built for you.
ABOUT LEVEL UP AUTOMATION
Level Up Automation is the first franchise system in the smart home and intelligent building industry. We design and install professionally integrated systems spanning AV, networking, lighting control, motorized shades, security, and whole-home automation for residential and commercial clients. We move fast, build smart, and we’re just getting started.
WHAT YOU’LL BE DOING
Ordering & Vendor Coordination:
- Place and manage product orders for materials across franchise units
- Coordinate with vendors and suppliers to ensure accurate and timely delivery
- Leverage AI agents to monitor real-time shipping status and product arrival across all orders
- Review and act on AI-delivered tracking updates — flag delays, discrepancies, or missing items
- Keep internal teams proactively informed using AI-compiled delivery status reports
- Ensure all order activity and tracking data is documented in Zoho CRM
Phone & AI-Assisted Communication:
- Oversee the company’s inbound call system, powered by Aircall’s native AI agent features
- Configure, monitor, and continuously improve AI call flows, routing logic, and response handling
- QA AI agent interactions to ensure every client and partner touchpoint reflects the Level Up brand
- Step in directly for escalations, complex inquiries, or calls that need a human touch
- Document all call activity, client interactions, and follow-up items in Zoho CRM
Administrative Operations:
- Support daily workflows for leadership and project teams
- Maintain organized digital filing systems, scheduling, and calendar coordination
- Document and actively improve processes as we scale — not just follow them
- Oversee Level Up’s AI-powered dispute resolution agent to improve Accounts Receivable outcomes and reduce outstanding balances
- Ensure all administrative activity, communications, and task updates are logged in Zoho CRM
- Provide general support across teams as the company grows
AI-Powered Work:
- Use Claude and Gemini to draft communications, summarize vendor threads, and prepare reports faster
- Configure and manage Aircall’s native AI agent features — call flows, routing logic, and automated handling — as we transition to AI-assisted VOIP
- Monitor AI agent performance and QA interactions to ensure every touchpoint reflects the Level Up brand
- Identify repetitive tasks that can be streamlined or automated with AI assistance
- Participate in testing and refining internal AI workflows as we build them out across the franchise
- Pick up new tools quickly — we move fast and iterate constantly

- Experience with ordering, vendor coordination, or operations support is a plus
- Experience with Zoho CRM or other Zoho One platform tools is a significant plus
- Valid U.S. driver’s license ability to pass CORI background check
COMPENSATION & BENEFITS
- Pay Range: $20–$27 / hr
- Schedule: Monday- Friday
- Hours: 40 / week
