Role Overview
The Events and Program Specialist will lead the development of event strategies and experiences across a range of company events and programs, including high-impact, premium ticketed experiences. The Specialist will oversee planning, coordination, and execution, owning the holistic guest journey from concept through delivery. This role is responsible for developing and presenting effective event engagement strategies that support the goals of the organization.
Essential Functions
- Lead the planning a range of company events, including premium guest experiences associated with ticketed entertainment events (e.g., NFL, Formula 1 and more), encompassing strategy, design, vendor sourcing, logistics, execution, and post-event review.
- Own end-to-end planning and execution of events & programs, including event and experience recommendations, contract negotiations, partner relationships, budget management, concept development, logistics, travel coordination, staffing, AV/technical requirements, venue selection, reservations, and fulfillment.
- Recommend the design and implementation of program schedules and timelines.
- Build and maintain relationships with event venues and partners as applicable.
- Partner with internal stakeholders (e.g., marketing, travel, leadership) as applicable.
- Attend events and ensure on-site direction, execution of logistics, and real-time problem resolution as applicable.
- Partner with the creative team on the development of event-related materials, including invitations, signage, décor, branded event merchandise, and related collateral.
- Lead programs that support corporate event initiatives.
- Elicit event feedback and identify opportunities for process improvement; provide analysis, propose change strategies, and communicate recommendations.
- Review event budgets, expenses, invoices, and payments to ensure accurate spending.
- Propose and present new event ideas aligned with organizational goals.
- Provide leadership, guidance, and instruction to less experienced staff.
- Maintain industry knowledge by attending education workshops and reviewing related publications.
- Ensure professional communication with executives, partners, and team members.
- Responsible for QA/QC process adherence.
- Responsible for compliance with company and site safety policies.
- Performs other duties as assigned.
- Complies with all policies and standards.
- Bachelor's degree and 4 years relevant event planning experience required.
- Must be able to manage budgets, track financials and negotiate contracts.
- Excellent computer and technology skills.
- Self-starter with proven project management skills.
- Strong presentation and communication skills.
