EVENTS PLANNING ASSISTANT 2, MIT Museum, will be responsible for providing coordination and oversight for varied operational and support aspects of Museum events with a particular emphasis on helping to plan and execute internal events such as exhibition openings, large public events, and internal MIT events and on serving as an ambassador to clients and guests in matters of AV and technical support both before and during events. The MIT Museum offers a robust slate of programming, including private function rentals and museum programs and events that take place both during the museum’s public hours, as well as before and after hours. Will provide diverse administrative and operational support for the successful execution of events at the museum, which may include coordinating the museum’s role in MIT’s Event Registration process, registering external clients’ events, obtaining liquor licenses when necessary, and ensuring that registrations for museum events arranged by internal clients or other MIT departments have been completed and submitted to the MIT Information Office prior to events; work closely and regularly with the Event Rentals Manager, and the Manager of Public Programs on scheduling of events to ensure calendar coordination across departments; be proficient in the museum’s calendar and booking system, as well as the intricacies of the base building’s protocols and guidelines; provide check-in, event logistics, AV and other technical support for a limited number of the Museum’s public programs; be an on-site presence at assigned events and programs; and assist with the coordination of client and program requirements, including museum sound system, video displays, and various audio/visual needs, including providing day-of event orientation for clients.A full job description is available, here: https://mitmuseum.mit.edu/connection/careers
Job Requirements
REQUIRED: High school diploma; a minimum of five years of administration, hospitality, events, or AV experience; proven experience coordinating and facilitating events at the highest level of sophistication; working knowledge of performance lighting systems, sound systems, video conferencing systems, and other demonstrated skill with technology and computer operations; strong communication, problem-solving, and advanced customer service skills; self-motivation; attention to details and their impact; and comfort juggling complex and multiple task assignments. This position requires a flexible schedule, which may include early morning, evening, and weekend availability. 2/20/2026
