Position Overview
The Communications Coordinator will play a key role on a busy corporate communications team helping execute the delivery of timely, relevant, and accurate information to more than 80,000 associates at a growing Fortune 500 company. The role will provide administrative support across a variety of operations including assisting with large-scale annual and quarterly meetings and ongoing execution of essential communication functions. This role requires a passionate pursuit of detail, exceptional follow-through, outstanding organizational skills, a professional demeanor, and strong grammar and proof-reading skills. This individual will work cross functionally and be able to work independently as a self-starter. This role will support multiple projects simultaneously, each with specific deliverables and deadlines. No two days will be the same and the role will evolve along with the demands of the business. Expected core functions of this role will include: maintaining the editorial calendars that guide our communications deliverables, proof reading and fact checking, managing volunteers and approvals for photo/video shoots, providing on-site and pre-event support for events, coordinating rehearsal schedules and facilities set up, scheduling and distribution of meeting invitations, maintaining corporate email boxes, posting content on internal digital platforms, managing distribution lists. Knowledge of core Microsoft Office programs is needed in this role. For the ambitious candidate with an interest in corporate communications, including writing, editing, graphics, or public relations, there will be ample opportunities to engage more broadly on the team.

A Day In The Life
Meetings & Events
- Managing the distribution of invitations, follow-up, room scheduling, AV and facilities requests for quarterly and annual events
- Supporting project managers and acting as a right hand to execute key elements of event plans including coordinating with other teams toward the successful completion of high profile deliverables
- Taking ownership of specific tasks to see them through to completion
- Coordinating video/ photo shoots
- Providing support on site
- Coordinate daily updates of the master editorial calendar to track content status for approval and distribution.
- Following up on outstanding approvals and updates to ensure deadlines are met.
- Publishing and maintaining content across an array of company digital platforms including digital displays, intranets, and other digital tools.
- Updating and managing company distribution lists
- Managing the corporate communications archive
- Drafting memos, articles, and PPTs for team
- Providing proof reading, fact checking, grammar, consistency checks, distribution checks, for PPT, graphics, scripts, memos, articles, and more.
- Helping coordinate incoming requests from media and working with external PR agency.
- Conducting a daily review of company email boxes and responding accordingly
- General administrative support.
- A 4 year degree in English, Communications, Business or equivalent experience
- 1 years of professional administrative experience in a fast-paced and deadline focused environment
- Creative problem solving skills
- A can-do attitude and commitment to see a project through to completion
- Outstanding communication skills both verbal and written
- The ability to work independently and be open to feedback
- Interest/experience writing corporate messages
- Outgoing and comfortable proactively reaching out to and working with extensive network of professionals of various roles and levels
- Discretion with sensitive information
- Collaborative spirit and able to work well under pressure, within tight timeframes and willingness to be flexible against changing priorities
