Compensation range: $20hr - $28hr. Based on our Sacramento, CA office location. (West Yost uses geographic salary differentials that would apply for candidates in other regions).

LOCATION: Sacramento, CA ( https://www.westyost.com/locations/ )

This position will cover the Davis off when we have large internal meetings, or our Davis Coordinator is on vacation. Estimated time in Davis is 2-5 times per month.

This position is not available for remote working.

ADMINISTRATIVE COORDINATOR – TEAM LEAD: CONFERENCES & MEMBERSHIPSLocation: Onsite | Full-Time

As an Administrative Coordinator, you'll be an essential part of our team, helping to keep the office running smoothly while making a great first impression on clients and colleagues alike.

What You’ll Do

  • Serve as the first point of contact for guests and team members—greeting visitors, answering phones, and ensuring a positive office experience.
  • Provide general administrative support, including managing mail, assisting with expense reports, scheduling meetings, and ordering lunches for multiple locations.
  • Maintain an organized and welcoming office environment, including supply ordering and upkeep of kitchen and shared spaces.
  • Serve as the team lead on conference & membership associations. Assist with registrations, travel arrangements, and tracking attendance.
  • Maintain a comprehensive and proactive calendar of upcoming events, including tracking of registration, abstract, award, and sponsorship deadlines.
  • Maintain company vehicle, including scheduling, maintenance, and recordkeeping.
  • Support project teams with printing and preparation of technical documents.

  • High attention to detail and the ability to manage multiple tasks and deadlines.
  • Proficiency in Microsoft Office Suite, Asana, and Teams.
  • Comfortable with answering and transferring phone calls in a courteous and efficient manner.
  • Valid driver’s license with a clean driving record.
  • High school diploma (or equivalent) required. 3 years of administrative experience preferred.

Travel Requirements

This position requires travel to other offices and/or client offices. Applicant must carry a valid driver's license. Applicant must also be able to meet West Yost’s rules and be eligible to drive for business. West Yost’s insurance carrier reserves the right to exclude applicants based on their driving record.
