Summary: The Administrative Assistant will provide administrative functions supporting our corporate back office and operations. This position is Full Time in the Office.
Essential Duties & Responsibilities
HR & Recruiting Assistance:
- Assist with recruiting tasks such as reviewing resumes, conducting and scheduling interviews, scheduling drug screens and following up with candidates.
- Coordinate offer letter process to include creating offer letters, tracking offer letter status, candidate and internal notifications.
- Schedule and coordinate new hire onboarding assignments and training sessions.
- Conduct new hire orientations for new employees and explain company policies.
- Compile and process employee documentation and records and keep the employee database up to date.
- Assist the HR and Recruiting managers with writing and updating policies, procedures, and changes.
- Serve as the focal point for operational, technical assistance, and advisory services of office administrative functions.
- Maintain interview schedule: Schedule interviews with candidates
- Assist with data entry and reporting: Inputting data, preparing reports, and assisting with Monthly Progress Reports.
- Assist in preparing meeting agendas, consolidating briefing material and reports; and editing meeting documents for final release.
- Coordinate Travel:
- Assist in scheduling and planning strategic engagement meetings with both internal and external entities.
- Attend weekly organization staff and working group meetings; prepare and distribute meeting minutes.
- Escort visitors and maintenance personnel in specialized areas.
- Assist multiple departments with day to day activities on an as needed basis.
- Assist with ensuring external timekeeping system is accurately updated
- Order supplies if needed for operational needs CONUS/OCONUS.
- HS Diploma – AA Degree preferred
- Three (3) years administrative/office experience
- ADP Experience
- General security program experience related to personnel security, physical security, information security, and security operations desired.
- Strong organizational skills; ability to effectively communicate orally; proficiency in technical editing and grammar to draft documentation, including the ability to edit and proofread; working or functional knowledge of computer office suites, e.g., MS Office Suite (MS Word, Excel, PowerPoint, Access, Outlook and Project).
- Ability to successfully work with and adapt to personnel at all levels; deal with high visibility situations and work effectively under the pressure of rigid deadlines; excellent, demonstrated problem solving and innovation skills; work without direct supervision and possess excellent interpersonal and customer service skills.
- Must be detail oriented with ability to multi-task.
