Job Description
We are seeking a highly organized and proactive Admin Assistant to support our Loan Executive in managing day-to-day operations and strategic priorities. This role is critical for keeping the executive on task, managing communications, and ensuring smooth coordination across teams during branch acquisitions and onboarding.
Administrative & Executive Support
- Manage and organize the inbox daily, prioritizing messages and ensuring timely responses.
- Ensure Val responds to emails daily; draft or send responses on her behalf when appropriate.
- Manage Val's calendar, schedule meetings, and coordinate appointments.
- Payroll - Approve weekly timecards, invoices and owner's weekly closings.
- Assist with onboarding tasks, including adding new Branch Managers/Loan Officers and updating start dates.
- Support scheduling of live file training sessions for new and existing team members.
- Oversee and maintain the Unassigned Loans Board to ensure accurate and up-to-date loan workflow tracking.
- Help create and maintain the Loan Care Checklist to support consistent client service and file quality.
- Assist with various departmental projects as needed.
- Compile reports and track key performance indicators (KPIs) for quarterly team meetings.
- Utilize Excel or AI-based tools to streamline reporting, data organization, and operational efficiency.
