General Statement of Duties:
To perform secretarial and office operation functions requiring the knowledge of departmental practices and procedures; to exercise independent judgment and to perform related clerical or other work as required.

Supervision Received: Work is performed under the general supervision of the Medical Examiner, Regional Morgue Facility Manager or designee.

Supervision Exercised: Supervision is exercised over other clerical employees or interns assigned to assist or during their training and participate in that training, as requested.

Essential Duties and Responsibilities: An employee in this class may be called upon to do any or all of the following: These examples do not include all of the tasks which an employee may be expected to perform.

  • Assist by answering confidential or other responsible inquiries and correspondence.
  • Assist with scheduling autopsies and provide vital information to those who depend upon it, including local law enforcement.
  • Obtain medical records from local doctors and medical institutions.
  • Understand and use the MDI Log and other software used by the office.
  • Obtain approval for all county cremation permits and maintain permit records including collection of permit revenue.
  • Accuracy in completing and filing of death certificates.
  • Act as a receptionist and provide information to the general public.
  • Compile information and statistical data for use in reports, estimates, and budgets.
  • Compose and type letters, reports, records and other forms.
  • Prepare and maintain bookkeeping or financial records.
  • Operate computers and other office machines.
  • File records and maintain office files.
  • Take part in meetings and trainings as required.
  • Reasonable flexibility in work schedule with the ability to assist the office in urgent situations outside of regular work hours.
  • May collect and record fees.
  • Order and maintain office supplies.
  • Open and sort mail.
  • Perform related work as required.

Desirable Education, Experience and/or Qualifications: An employee in this class, upon appointment should have the equivalent of the following training, qualifications and/or experience.

  • Graduation from an accredited high school, or GED equivalent.
  • Experience in responsible clerical and secretarial work with responsibility for the exercise of individual judgment and initiative.
  • Ability to follow instructions with knowledge of departmental rules, regulations and procedures.
  • Must be self-motivated and well organized.
  • Initiative and resourcefulness in handling public contacts and resolving office problems.
  • Computer skills are necessary to effectively utilize word processing, spreadsheets, and accounting software systems and the ability to be trained on a specific software program.
  • Ability to follow instructions with knowledge of departmental rules, regulations, and procedures.
  • Ability to assemble data and to assist in the preparation of accurate records and reports.
  • Ability to plan and organize office work.
  • Ability to work effectively with other employees, officials and the general public.
  • Considerable ability to communicate with distressed, emotional people.
  • Ability to maintain confidentiality of case information.

Working Conditions and Physical Abilities:

  • Work is primarily indoors and requires sitting for extended periods.
  • Must be able to lift and carry up to 30 pounds.
  • Must be able to hear and speak over the phone and in one-on-one communication needs.
  • Must be able to see and notice the needs of others.
  • Must be able to be regularly exposed to blood and body fluids.
  • Must be able to be exposed to harmful biological/chemical substances.
  • Must be able to be exposed to all weather conditions and some undesirable home conditions.
  • Must be able to deal with difficult situations.
