JOB DESCRIPTION SUMMARY
Under general supervision, performs legal secretarial functions for the Judge. Includes scheduling, maintaining and coordinating the docket, taking and transcribing legal dictation, screening callers and visitors, scheduling appointments and other administrative/clerical support activities. As certified Court Recorder, takes a verbatim record of all court proceedings conducted before a Judge and prepares all necessary transcripts in accordance with Michigan Official Court Rules. Responsible for entry on files and JIS system data. Also prepares and processes documentation related to Court appointed legal counsel for individuals determined to be indigent.
SUPERVISION RECEIVED: Works under the direction of a Judge.
SUPERVISION EXERCISED: Over those assigned to assist.
TYPICAL EXAMPLES OF WORK: An employee in this class may be called upon to do any or all of the following: (these examples do not include all of the tasks which an employee may be expected to perform).
Serves as secretary to the Judge, typing legal and confidential material, organizing, coordinating and processing information, maintaining court files and records, scheduling appointments, taking and transcribing legal dictation, drafting correspondence and legal documents for judicial review and signature. Compose correspondence in response to a problem or routine inquiry as authorized and directed.
Provides information and assistance to attorneys, law enforcement personnel, organizations, agencies, officials and the general public regarding court policies and procedures. Receives calls and visitors, determining amount and type of information to provide and whether the Judge's attention to a matter is required. Responds to inquires within scope of authority and refers others to the proper source.
Develops and maintain office filling system. Includes creating individual files for cases heard by Judge with copies of orders, opinions, correspondence and other documentation. Also has primary responsibility for security of such files.
Schedules all matters and proceedings coming before the court, considering the number and types of cases that may be processed in a given time period. Ensure that files are present and ready for Court action; coordinates scheduling with attorneys, law enforcement authorities and other participants. Also responds to inquiries regarding the court schedule and related matters.
Receives and reviews requests for adjournment of scheduled cases, evaluates need and potential impact on Court schedule, grants or denies adjournment based on established court policy for routine requests and seeks judicial approval in sensitive cases. Notifies parties of adjournments or other changes.
Performs jury related responsibilities such as: acting as Deputy Clerk, performing various associated functions, including calling role, taking attendance and receiving the verdict.
Conducts in-court discovery hearing for civil matters. Includes swearing witnesses, taking testimony, swearing and polling jurors.
Assists in courtroom procedures by completing proper documents, marking court files and maintaining accurate case activity records. Operates computer terminal, entering and updating court actions on all case files and performing other duties as required.
Prepares and reviews all orders entered by the court prior to judicial signature to ensure that all necessary requirements have been met. Forwards copies to attorneys represented in the case and makes appropriate docket entries.
Maintains progress records of criminal cases from arraignment to trial, notifies Judge of special problems of delay encountered.
AS COURT RECORDER (District Court only):
Requesting speakers to clarify inaudible statements or spell technical or unfamiliar terminology as required.
Playing back testimony during proceedings as directed by the Judge.
Maintaining log of witness appearances, glossary of terms, notation of occurrences and the point at which they occur, accepting, marking and retaining custody of exhibits.
Preparing or supervising the timely preparation of type written transcripts as required, distributing copies, preparing invoices and maintaining records of same.
Filling and storing tapes, exhibits and courtroom notes for ready future access as required.
High school graduate or its equivalent with office skills course work, prefer advanced legal secretarial or court management course work.
One to two years legal secretarial/record processing experience in a court or closely related legal setting.
Ability to be certified as an electronic recorder by the Michigan Supreme Court.
Ability to qualify as a notary and type with speed and accuracy as required by the court.
