Clerical Assistant
Job Description
Assists office staff and administration, completes a variety of general and clerical office duties, including but not limited to, answering phones, filing, typing, computer input, preparing and maintaining pupil records and reports as needed.
Primary Duties
1. Assists in answering telephone calls and greeting students, staff, and general public.
2. Enters computer registration data for new and returning students
3. Assists with scanning and processing discipline referrals and letters to parents.
4. Assists in the maintenance of student files.
5. Assists classroom teacher in preparation of instructional materials.
6. Assists in organizing, administering student assessment tests and compiling data as required.
7. Assists in preparing attendance and other required reports for the school district and other agencies.
8. Receives, sorts and distributes incoming and outgoing mail.
9. Maintains records of equipment inventory.
10. Maintains records of lost book and/or instructional materials list and billing.
11. Monitors student attendance calls to verify absences.
12. Accepts delegated assignments from Alternative Education Principal’s Secretary or Office Manager.
13. Performs other office duties as required.
SUPERVISION RECEIVED AND EXERCISED
Supervised by appropriate classified manager or site administrator.
QUALIFICATIONS
EDUCATION: High School Diploma
EXPERIENCE: Sufficient experience to have acquired skills in the use of computers, modern office technology, as well as efficient office practices and procedures.
KNOWLEDGE: Knowledge of basic modern office methods, correct business English, vocabulary, grammatical usage, spelling and punctuation; common office machines and skill in their operation; computers/word processor, data base and spread sheet.
ABILITY: Ability to perform responsible clerical work with accuracy and speed; learn specific rules, laws, and policies quickly and apply them with good judgment in a variety of procedural situations; make arithmetical calculations quickly and accurately; compile and maintain accurate and complete records and reports; understand and carry out oral and written directions; meet the public tactfully and courteously; establish and maintain cooperative and effective working relationships with students and adults; type accurately 45 words per minute; stand, sit, use a 5 foot ladder and lift 45 lbs.; bilingual skills preferred.
