THE ROLE
The Membership Coordinator is primarily responsible for the organization of logistics and execution for private events & memberships. This role is responsible for managing a wide range of support duties related to marketing, food and beverage execution, operations, membership sales and private events. The Event Sales Coordinator reports to the Director of Sales.

THE ROLE
The Membership Coordinator is primarily responsible for the organization of logistics and execution for private events & memberships. This role is responsible for managing a wide range of support duties related to marketing, food and beverage execution, operations, membership sales and private events. The Event Sales Coordinator reports to the Director of Sales.
Essential Duties And Responsibilities
- Assist with administrative tasks in booking private events and membership services, including, but not limited to corporate, social, and marketing/promotional events.
- Assist in the execution of the sales process, including but not limited to the creation and execution of all sales materials and contracts, and management of billing and payments as they relate to events.
- In partnership with Event Sales & Membership Sales Manager, prepares customized proposals and contracts based on client requirements, budget constraints, and availability.
- Collaborates with internal teams such as catering, operations, IT/AV, F&B and marketing to develop comprehensive event plans that meet client expectations.
- Communicate event details and logistics to relevant stakeholders, including clients, catering, vendors, and on-site staff, to ensure smooth event experience.
- Maintains accurate records of sales activities, client interactions and event calendars.
- Serves as a primary point of contact for event clients throughout the event planning process, from initial inquiry to post-event follow-up.
- Build and maintain strong relationships with clients by providing exceptional customer service and addressing their needs and concerns promptly.
- Collaborate with the marketing team to develop promotional materials, sales collateral, and online marketing campaigns to drive event bookings.

Education
Education and/or Experience
- Bachelor’s Degree in a related area of study preferred and 1-2 years’ related experience of groups sales (sports, attractions, or hotel industry preferred)
- Excellent interpersonal, verbal and written communication skills; ability to communicate
- Proficient in Microsoft Office and Adobe
- Able to simultaneously manage a high level of detail across multiple projects
- Quick learner with ability to handle multiple projects and meet deadlines
- Ability to work well with different personalities
- Food and beverage experience preferred
- Entrepreneurial spirit, energetic and outgoing personality with a creative, and a proactive approach to work
- Excellent written and verbal communication skills
- Knowledge of Archtics/Customer Relationship Management (CRM)
- Must be proficient with Microsoft Word, Excel, and PowerPoint and have strong writing and organizational skill
- Working knowledge of local/regional markets, venue operations, and special events industries
- Excellent self-accountability for high personal standards of conduct and professionalism
- Must have sufficient mobility to perform tasks including constant reaching, bending, stooping, wiping, pushing, and pulling for extended periods of time
- Specific vision abilities required by this job include close vision and the ability to adjust focus
- Must be flexible to work extended hours due to business requirements including late nights, weekends and holidays including all games and major stadium events
- Must have the ability to lift, push, pull approximately 25lbs
- Must be able to stand and/or walk for up to 10 hours during a single shift, while navigating ramps, stairs and elevators
