Position Summary

The Concessions Staffing Coordinator & Administrator is responsible for coordinating all staffing and administrative functions for stadium concessions operations. This position ensures that concession locations are adequately staffed for all events through effective scheduling, recruitment support, onboarding coordination, attendance tracking, and workforce communication.

Staffing Coordination

• Develop and manage staffing schedules for all concession locations.
• Create and maintain employee schedules in accordance with the Collective Bargaining Agreement (CBA), seniority, availability, and operational needs.
• Prepare staffing rosters, deployment sheets, sign-in sheets, labor reports, and other event documentation.
• Record and track call-offs, late arrivals, no-call/no-shows, and staffing changes.
• Verify employee attendance by conducting location (bed) checks and reconciling staffing assignments.
• Print and distribute staffing reports, attendance reports, labor reports, and other operational documentation.
• Assign employees to work locations and update staffing assignments as operational needs change.
• Coordinate staffing levels based on event attendance projections and operational needs.
• Maintain staffing rosters and employee availability records.
• Coordinate last-minute staffing adjustments and fill open shifts as needed.
  
  

Recruitment & Onboarding Support

• Assist with recruiting concession team members and seasonal employees.
• Schedule interviews and hiring events.
• Coordinate onboarding activities for new hires.
• Monitor completion of required training and certifications.
  
  

Workforce Administration

• Maintain employee records and staffing databases.
• Track attendance, tardiness, and labor metrics.
• Enter, reconcile, and maintain employee tip records for all applicable departments.
• Monitor scheduled versus actual labor and communicated variances to department leadership.
• Process payroll time edits and ensures employee time records are accurate.
• Assist with payroll verification and reporting.
• Generate staffing reports for management review.
  
  

Event Operations Support

• Serve as the staffing contact during events.
• Coordinate employee check-in and check-out procedures.
• Assist managers in resolving staffing challenges.
