Position Summary
The Rental Coordinator is responsible for managing the day-to-day rental operations of the company. This role serves as the primary point of contact for customers renting construction equipment, coordinating equipment availability, scheduling deliveries and returns, preparing rental agreements, and ensuring excellent customer service. The ideal candidate is organized, detail-oriented, and comfortable working in a fast-paced construction environment.
Key Responsibilities
- Coordinate and manage equipment rental reservations, deliveries, and returns
- Serve as the primary contact for customer rental inquiries (phone, email, walk-in)
- Prepare and process rental contracts, invoices, and related documentation
- Confirm equipment availability and schedule rentals accordingly
- Coordinate with the yard, mechanics, and drivers to ensure equipment is ready and delivered on time
- Track equipment status including availability, maintenance needs, and return dates
- Maintain accurate records in the rental management system
- Assist customers in selecting appropriate equipment for their project needs
- Monitor overdue rentals and follow up with customers as needed
- Ensure rental terms, pricing, and policies are followed
- Support billing and payment processing for rental transactions
- Maintain organized rental files and documentation
- Provide excellent customer service and build long-term customer relationships
Required Qualifications
- High school diploma or equivalent
- 1–3 years of customer service, scheduling, or administrative experience
- Strong organizational and time management skills
- Excellent communication and customer service abilities
- Basic computer skills (Microsoft Office or similar software)
- Ability to multitask and prioritize in a busy environment
Preferred Qualifications
- Experience in construction, equipment rental, or related industry
- Familiarity with rental software systems
- Basic knowledge of construction equipment (skid steers, lifts, excavators, etc.)
Work Environment
- Office setting within a construction equipment yard or rental facility
- Frequent communication with drivers, mechanics, and customers
- Occasional outdoor yard interaction
Physical Requirements
- Ability to sit or stand for extended periods
- Walking through equipment yard
- Ability to lift up to 25 lbs occasionally
- Load and unload equipment
Compensation & Benefits
- Competitive hourly wage or salary based on experience
- Paid time off and holidays
Pay: $60,000.00 - $85,000.00 per year
