Automotive Title Clerk (5 Yrs Experience Minimum)

Title Clerk manages the processes necessary to legally transfer titles of retail automobiles (purchased by customers), trades, and wholesale automobiles. Data input and audits of documentation is also necessary in order to track, monitor, and finalize purchases. The Title Clerk also monitors the collection of payments for purchases of automobiles and insurance and updates records to maintain current bookkeeping data.
Duties and responsibilities
Management of Retail/Wholesale/Trades Titles and Purchase Process
- Receives and manages all retail/wholesale titles and relevant documents for Puyallup and Burien locations
- Receives and manages all trade titles and necessary documents for the Puyallyp store
- Receives and manages all off-street purchase titles and documentation for the Puyallup store
- Ensures that all documents and titles are correctly signed and that all required releases are obtained for retail, wholesale, trade and off-street purchases
- Makes copies of all relevant documents related to retail, wholesale, trade and off-street purchases and places in deal jackets for safekeeping
- Follows up with all auction companies, customers, lenders, operations managers, and/or Finance Managers regarding any missing titles or those that require corrections
- Collaborates with all appropriate team members at Legend to address challenges in obtaining titles by identifying and resolving any titling issues
- Verify and send out any payoff requests as needed
- Dispatch all titles to auctions and/or vendors once a vehicle has been sold
- Dispatch requested Puyallup titles
- Follow up with auctions and/or vendors for payment after titles have been sent
Titling and Registration/Clerical
- Conducts a comprehensive audit of all Puayllup deals to ensure receipt/transfer of titles are timely and to maintain compliance with state and federal regulations
- Scans all deals into the AutoSoft NET (ASN) system and performs a follow-up audit to eliminate any unnecessary documents
- Prepares batches for the Department of Licensing (DOL) or any documents being sent to out-of-state Department of Motor Vehicles (DMV)
- Processes DOL batches in ASN by performing DMV reconciliation
- Notifies customers when their license plates are ready for pick up by text
- Prints checks for any DOL refunds
- Uploads the registration to the customer profile in ASN and saves a copy in the deal jacket before filing the deal away
- Files plates, and/or mail plates to customers when necessary
- Organize registered deal jackets with file cabinets, ensuring an efficient filing system for both sold and registered deals
- Creates deal jackets for all incoming inventory, including retail (in Burien and Puyallup), trades, and off-street purchases
- Maintains an organized filing system for all incoming inventory at the Puyallup store
Administrative Support
- Assists with creating and cutting Referral Checks
- Covers the Bushing when necessary
- Supports the Administration team with tasks when necessary
- Provides excellent customer service to clients, vendors, and co-workers
- Helps create and maintain a positive experience for all
- Other duties as assigned
Job Type: Part-time
Pay: $23.00 - $28.00 per hour
Expected hours: No more than 30 per week
