A north suburban full-service law firm is seeking a highly organized and proactive Operations Manager to oversee the day-to-day operations of the firm. This role is ideal for a professional with experience managing a legal team and running law firm operations. The Operations Manager plays a critical role in ensuring the firm runs efficiently, supporting both attorneys and staff while maintaining a high standard of service for clients.
The Operations Manager reports directly to firm leadership and serves as a hands-on working manager responsible for the daily operations of a 20-person law firm. This role oversees a team of 6 to 8 support staff and requires a strong balance of leadership, problem-solving, and operational execution. The ideal candidate takes ownership of the office environment, anticipates needs, and ensures that all aspects of the firm run smoothly, while maintaining a positive attitude and acting as a leader.
This is a full-time, salaried position based in Northbrook, Illinois. Standard hours are Monday through Friday, 8:30 a.m. to 5:30 p.m., with occasional availability required outside normal business hours and on weekends, as needed.
Key Responsibilities
Serve as the central point of coordination for all firm operations, ensuring the firm runs efficiently at all times
Manage and oversee a team of 6 to 8 support staff, ensuring productivity, accountability, and a high level of performance
Lead and execute the firms monthly client billing process, including resolving billing questions and issues in a professional and timely manner
Manage all firm and client-related accounts payable and accounts receivable, including completion of daily deposits
Prepare and present detailed financial reports to firm leadership on a bimonthly basis
Manage firm expenses and maintain vendor relationships, including coordination and communication with service providers
Act as the first point of contact for IT-related issues and serve as a liaison with the firms IT provider to ensure system reliability and minimal disruption
Oversee human resources functions with partner oversight, including recruiting, onboarding, employee relations, payroll coordination, and benefits administration
Provide hands-on support in resolving day-to-day operational challenges
Assist with firm-wide projects and operational initiatives as needed
Oversee maintenance and management of the firms office and property, and act as a resource for other tenants during emergencies
Qualifications
Professional, dependable, and proactive, with a strong sense of ownership and accountability
Two or more years of experience managing a legal team and overseeing law firm operations
Strong leadership skills with the ability to manage, motivate, and support a team
Excellent organizational skills and attention to detail
Ability to manage multiple responsibilities and prioritize effectively in a fast-paced environment
Strong communication skills, both written and verbal
Proficiency in NetDocuments, Tabs III Billing, Microsoft Office Suite, LawPay, and HotDocs preferred
Familiarity with estate planning and administration, as well as litigation, is preferred but not required
Compensation and Benefits
Competitive compensation commensurate with experience, targeting between $80,000 and $100,000
