We work with national portfolios, property owners, and enterprise clients to deliver high-level operational insight through advanced technology and field operations.
We are seeking a highly organized, detail-oriented Administrative Assistant to support day-to-day operations within our Edmond office and report team members. This role is ideal for someone with experience in real estate, commercial property management, construction administration, or portfolio coordination who thrives in a fast-paced environment.
Position Overview
The Administrative Assistant will play a central operational role supporting project coordination, client communication, compliance documentation, scheduling, and data management. This position directly supports leadership, project teams, and field operations to ensure projects move efficiently from onboarding through completion.
The ideal candidate is proactive, organized, professional in communication, and capable of managing multiple priorities simultaneously.
Key Responsibilities
- Coordinate and manage project data ingestion and administrative workflows
- Assist with property risk assessments and project documentation
- Prepare and coordinate airspace waiver submissions for drone operations
- Conduct interviews and coordination calls with property owners and stakeholders
- Create and manage SLAs (Service Level Agreements)
- Generate and track COIs (Certificates of Insurance)
- Maintain accurate project status tracking and reporting
- Coordinate scheduling between field teams, clients, and vendors
- Maintain organized digital records and operational documentation
- Support leadership with administrative and operational tasks as needed
- Ensure project deliverables and compliance requirements are properly documented
- Assist in maintaining communication across multiple active projects and markets
- Manage travel arrangements for team members
Qualifications Required
- 2 years of experience in:
- Real estate
- Property management
- Commercial construction administration
- Facilities management
- Or related operational environments
- Strong organizational and multitasking abilities
- Professional written and verbal communication skills
- Experience working with spreadsheets, project tracking systems, digital documentation and Microsoft Office Software
- Ability to manage multiple deadlines in a fast-paced environment
- High attention to detail and accuracy
Preferred
- Experience with commercial property portfolios
- Familiarity with insurance documentation and compliance tracking
- Experience coordinating vendors or field operations
- Knowledge of drone operations or permitting processes is a plus
- Experience with CRM or project management software
