Legacy South is seeking a motivated, detail-oriented Purchasing Agent to support our

production homebuilding operations. The Purchasing Agent will work closely with the Director of

Procurement, estimating, construction, and accounting teams to support trade partner setup,

purchase order management, bid tracking, and cost analysis. Strong organizational skills,

attention to detail, and a willingness to learn are essential.


Key Responsibilities

Bidding & Cost Tracking

  • Help collect and maintain competitive bids for each homebuilding task and upload them into a proposal tracker.
  • Maintain updated costs as scope of work evolves.
  • Assist with pricing comparisons for materials, equipment, and labor used on projects.
  • Monitor commodity and material price trends (lumber, drywall, concrete, etc.) and flag notable changes to Manager.
  • Track manufacturer and supplier rebate programs and assist with rebate capture in assigned categories.

Purchase Order Management

  • Create and revise purchase order sheets for new starts and change orders.
  • Review lot-specific changes and coordinate with estimating, construction, sales, and trade partners to ensure POs are accurate.
  • Help research and resolve PO discrepancies, working with accounts payable, project management and trade partners to clear invoice variances.
  • Ensure all purchases follow established Legacy South policies and procedures.

Trade Partner & Vendor Support

  • Assist with the setting up of new vendors and trade packages in company systems.
  • Send DocuSign pricing agreements to trade partners and file executed copies in Smartsheet project documents.
  • Maintain and update the vendor contact list, including W-9s, certificates of insurance (COIs), and license documentation.
  • Assist with onboarding new vendors and trade partners.
  • Help establish and maintain positive relationships with vendors and trade partners through professional communication and timely follow-up.

Plans, Options & Community Setup

  • Assist with the setup of new plans, options, communities, and takeoffs in the purchasing system.
  • Help maintain option costs and sales prices in coordination with product development.
  • Support architectural and structural plan updates from the field by ensuring redlines and plan revisions are documented, stored, and distributed to all internal and external parties.
  • Assist with the creation and maintenance of specification documents and project manuals.

Lot Starts & Reporting

  • Support the lot start process by helping verify unit costs and PO accuracy prior to release.
  • Assist with basic takeoffs (e.g., lumber counts, square footage, fixture counts) to support estimating and verification.
  • Help prepare cost variance reports and pull supporting documentation for review.
  • Provide procurement support to project managers, estimators, and accounts payable.
  • Perform related administrative and clerical duties as assigned (filing, data entry, scanning, system updates).


Qualifications

  • Bachelor's degree in Construction Management, Business, Supply Chain, Finance, or related field — OR equivalent combination of education and relevant work experience.
  • Strong proficiency in Microsoft Excel (formulas, sorting, filtering, pivot tables a plus) and Microsoft Office suite.
  • Excellent attention to detail and strong organizational skills.
  • Strong written and verbal communication skills.
  • Ability to manage multiple tasks, meet deadlines, and prioritize in a fast-paced environment.

Preferred (Not Required)

  • Internship or prior exposure to residential construction, homebuilding, real estate, or supply chain.
  • Basic understanding of construction plan reading and residential building components.
  • Familiarity with construction management or ERP software (e.g., BuildPro, Hyphen, NEWSTAR, BRIX, Sage, or similar).
  • Experience with Smartsheet, DocuSign, or Bluebeam.
