The Logistics and Compliance Coordinator plays a key role in managing a variety of tasks related to shipping, order processing, compliance, and reporting, while working closely with Operations Business Managers. This position requires exceptional organizational skills to handle responsibilities such as obtaining freight quotes, scheduling pick-ups with packaging companies, and completing routing documents. The coordinator processes orders, generates purchase orders, issues packaging POs, and tracks returns, ensuring all tasks are completed efficiently and accurately.
In collaboration with the Operations Business Managers, the coordinator ensures smooth communication and alignment on logistics and operational tasks. Additionally, they are responsible for maintaining a well-organized filing system for invoices and credit memos from various brands. Compliance responsibilities include compiling testing reports, requesting documentation, preparing document matrix forms, and managing templates for key programs like Pokémon and Panini. They ensure accuracy in Test Request Forms (TRFs), track sample shipments, and follow up with testing companies to confirm delivery. The role also involves pulling and analyzing sales data, uploading it into templates, and summarizing program performance. Strong attention to detail and organizational skills are essential to maintaining efficiency, accuracy, and compliance across all responsibilities.
Essential Job Duties and Responsibilities:
Shipping Logistics:
- Retrieve Freight Quotes from companies and arrange shipping when needed.
- Order Processing
o Scheduling pick-up dates with packaging companies
o Fill out routing documents
- Tracking retailer returns
- Creating flow plans and work alongside sales lead to communicate order recommendations
- Invoicing after POs have been shipped
- Generate POs for the brands within our system (Acumatica)
- Issuing Packaging POs for each program
- Filing Invoices & Credit memos from Brands
Testing & Compliance:
- Compile, file, and track reports
- Request and track necessary documentation
- Create document matrix forms
- Prepare templates for the different programs
- Follow up on documentation retrieval, ensuring accuracy
- Complete and schedule sample selection and inspection requests
- Review and adjust TRF (Test Request Forms) as needed
- Track sample shipments and confirm delivery with testing companies
Sales Reports:
- Pulling and uploading data into a sales report template, ensuring the data is reported accurately.
- Extracting insights, analyzing, and recapping each program’s performance via e mail.
Other:
- All other duties as assigned
Required Experience:
- 1-2 years of experience in logistics, supply chain, or operations management
- Familiarity with order processing, freight management, and tracking returns
- Strong skills in data analysis and reporting, including proficiency in Excel or similar tools
- Previous experience collaborating with business managers or cross-functional teams
- Familiarity with shipping regulations, testing protocols, and quality control is a plus
