Job Title: Front Desk Office Assistant (Hospice Intake & Scheduling)
Position Summary
We are seeking a compassionate, organized, and detail-oriented Front Desk Office Assistant with experience in hospice intake and scheduling. This role serves as the first point of contact for patients, families, and referral sources, while also supporting intake coordination and staff scheduling to ensure seamless patient care delivery.
Key Responsibilities
Front Desk & Administrative Support
- Greet and assist visitors, patients, and families in a professional and empathetic manner
- Answer and direct incoming phone calls, taking accurate messages as needed
- Manage front office operations including mail, supplies, and general administrative tasks
- Maintain a clean, organized, and welcoming reception area
Hospice Intake Coordination
- Process new patient referrals and coordinate admissions in a timely manner
- Verify patient information, insurance, and eligibility
- Communicate with referral sources, hospitals, and physicians
- Ensure all required documentation is complete and compliant with regulations
- Enter and maintain accurate data in EMR systems
Scheduling
- Coordinate and manage schedules for clinical staff (nurses, aides, social workers, etc.)
- Adjust schedules based on patient needs, staff availability, and urgent situations
- Communicate schedule changes effectively to team members
- Maintain daily, weekly, and on-call schedules
Qualifications
- High school diploma or equivalent required; additional administrative or healthcare training preferred
- Minimum 1–2 years of experience in a healthcare setting, preferably hospice or home health
- Experience with hospice intake and/or patient admissions strongly preferred
- Proven scheduling experience in a clinical or service-based environment
- Proficiency with EMR systems and Microsoft Office (Word, Excel, Outlook)
