Growing Western Massachusetts law firm specializing in estate planning and real estate seeks an organized and conscientious Operations Manager who shares our core values to manage our Estate Settlement and Trust Administration Department. The Legal Operations Manager will oversee a team of 4-5 employees, manage day-to-day operations of the practice area, lead strategic projects, and collaborate with other department managers to help guide the firm's growth and success. We are a goal-oriented firm looking to hire a personally responsible, team-player with integrity and a can-do attitude, and someone who is comfortable with accountability and seeks personal and professional development. A paralegal certification is not specifically required for this position, but prior legal, Probate, and Estate Administration is preferred. Team management experience is required.

Job Description:

This position includes management of the flow of cases in the department, providing leadership and supervision to other members of the department, and participating in leadership overall in the firm. In addition there will be typical law firm administrative tasks such as handling phone calls, scheduling of meetings, preparing and sending routine letters/correspondence, word processing tasks, spreadsheet work, data entry/management, preparing materials for various types of meetings, drafting of simple legal documents, and other miscellaneous tasks that require a basic understanding of Word, Excel, Outlook, and PowerPoint. This position has long-term career potential and comes with competitive hourly wages, benefits and potential for periodic bonuses. The work week is 40 hours per week, typically Monday through Friday, with some flexibility as appropriate and is a salaried position. This position is not remote, and requires in-person work in one of our firm’s main office locations, including Easthampton, though regularly scheduled “remote work” days can be arranged after initial training is completed.

Preferred Skills and Qualifications:

- Prior team lead or leadership required;

- Proficiency with Microsoft Office Suite including Word, Excel, Outlook, PowerPoint, and Adobe Acrobat;

- Experience handling Probate Estates and / or Trust Settlement, preference to those that have experience in both MA and CT;

- Experience with Estate Tax returns (706’s) preferred;

- Team-player, reliable, detail oriented, thorough, honest, good organizational skills and follow through;

- Capable of multi-tasking and prioritizing high-volume workload effectively;

- Strong computer skills, generally;

- Excellent language skills and a penchant for accuracy;

- Willing to learn this unique field of law;

- Consistent, low-key, deadline oriented, client-friendly attitude.

Job Responsibilities:

- Manage and prioritize high volume caseload

- Manage 4-5 staff members / paralegals in the department

- Provide exceptional customer service and develop strong client relationships

- Understand Estate Settlements from the death of the client through the end of the settlement

- Draft outgoing mailings and correspondence

- Prepare trust administration documents

- Assist Attorneys with tracking caseload, monitoring and following up on requests

- Self-managed follow up on delegated assignments

- Retrieve, input and submit financial forms

- Maintain client files

- Maintain client confidentiality
