Duties
- Greet visitors warmly, answer multi-line phone systems, and direct calls with professional phone etiquette
- Manage front desk operations, including scheduling appointments and maintaining visitor logs
- Handle data entry, filing, and document proofreading to ensure accuracy and organization
- Support office management tasks such as calendar management, scheduling meetings, and coordinating appointments
- Utilize computer skills across Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace for various administrative functions
- Assist with bookkeeping tasks using QuickBooks or similar accounting software when needed
- Provide customer support by addressing inquiries promptly and courteously, ensuring a positive experience for all clients and visitors
Qualifications
- Proven office experience or clerical experience demonstrating strong organizational skills and attention to detail
- Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
- Excellent communication skills in both English and bilingual capabilities preferred
- Strong typing skills with high accuracy; familiarity with data entry procedures
- Experience with multi-line phone systems and phone etiquette essential
- Knowledge of office management procedures including filing, proofreading, and calendar management
- Ability to handle customer service interactions professionally while maintaining confidentiality
- Personal assistant or medical/dental receptionist experience is a plus but not required
- Demonstrated time management skills with the ability to prioritize tasks effectively
