Job Overview:
We are seeking a highly skilled and discreet Executive Personal Assistant to support a high-level executive and their family. The ideal candidate will have a proven track record assisting CEOs or senior executives within financial or corporate firms, with extensive experience in managing complex personal and professional schedules, international and domestic travel logistics (including private and chartered flights), and full-spectrum household and family support.
This role requires a polished professional who is fluent in Spanish and thrives in a fast-paced, high-standard environment. Exceptional organizational skills, sound judgment, and the ability to anticipate needs are essential.
Key Responsibilities:Executive & Family Support
- Manage and coordinate complex calendars for both executive and family members, including professional, social, and school schedules.
- Serve as a gatekeeper and liaison, ensuring seamless communication between professional and personal contacts.
- Book and manage all medical, dental, and wellness appointments for family members.
- Maintain and update important personal and legal documents including insurance policies, passport renewals, driver’s licenses, car registrations, mortgages, and more.
Travel & Itinerary Management
- Arrange comprehensive travel logistics including private and chartered flights, commercial flights, ground transportation, accommodations, and luxury amenities.
- Prepare detailed travel itineraries with all confirmations, reservations, local recommendations, and contingency plans.
- Coordinate with global concierge and travel services as needed for VIP experiences.
Event Planning & Hospitality
- Plan, organize, and execute both intimate gatherings and large private events.
- Source and manage vendors for catering, décor, rentals, entertainment, and staff.
- Make high-end restaurant reservations and curate personalized dining experiences.
Administrative & Household Management
- Oversee household operations and liaise with household staff, vendors, and contractors.
- Track and renew all insurance policies (home, auto, medical, travel).
- Maintain and manage confidential records, legal paperwork, and financial documents.
- Provide Spanish translation services for both verbal and written communications.
Children & Education Coordination
- Organize school calendars, extracurricular activities, tutoring schedules, and parent-teacher meetings.
- Serve as a point of contact with schools, teachers, and educational consultants.
Qualifications:
- Minimum of 5 years of experience supporting C-suite executives, preferably in finance or corporate environments.
- Fluent in Spanish (written and verbal) – required.
- Experience with private and charter flight logistics.
- Strong knowledge of luxury travel, lifestyle, and hospitality.
- Proven ability to handle sensitive and confidential information with discretion.
- Exceptional organizational and multitasking skills; thrives in high-pressure environments.
- Tech-savvy with proficiency in Google Suite, Microsoft Office, and itinerary/travel platforms (e.g., TripIt, Concur, etc.)
- Ability to work flexible hours and travel as needed.
Preferred Attributes:
