Job Overview
The TFC Administrative Assistant plays a vital role in supporting the daily operations of our organization by providing comprehensive administrative and clerical support. This position requires a highly organized, detail-oriented individual with excellent communication skills and proficiency in office management tools. Maintains files in both hard copy and electronic media. Provides general, as needed services to other programs located The ideal candidate will have experience with office software, customer service, and multitasking in a fast-paced environment. The role involves managing front desk responsibilities, handling multi-line phone systems, data entry, scheduling, and supporting various administrative functions to ensure smooth office operations in Outreach Services Office in conjunction with or absence of other office staff. Performs other related duties as assigned.
Responsibilities
- Manage front desk duties including greeting visitors and directing calls using multi-line phone systems
- Answer inquiries professionally via phone, email, or in person, providing exceptional customer support
- Maintain accurate records through data entry, filing, and document proofreading to ensure data integrity
- Perform office management tasks such as organizing files, managing supplies, and overseeing office equipment
- Support team members with personal assistant duties including calendar management and task prioritization
- Ensure proper phone etiquette is maintained at all times to uphold a professional office environment
- Contribute to overall office efficiency through effective time management and organizational skills
Experience
- Prior office experience or administrative support roles preferred, including clerical or receptionist positions
- Experience with front desk operations and multi-line phone systems is highly desirable
