Student Services Secretary

JOB GOALS
To provide assistance to the Student Services staff. To perform other work-related duties as assigned by administration.
ESSENTIAL FUNCTIONS
- Types memos and correspondence as requested by the Students Services staff members;
- Performs routine clerical duties including preparation of files for copying and mailing;
- Maintains files and records;
- Facilitates the pre-referral process to the extent deemed necessary by CST team or parents;
- Monitors date of eligibility;
- Processes the referrals and forwards relevant packets to teachers and parents;
- Maintains triennial file for collation and synthesis of incoming components;
- Schedules and reminds schools of eligibility meetings;
- Maintains all confidential records in the manner required by VDOE and federal mandates;
- Releases copies of confidential records (with appropriate consent) to parents, Disability Determination, physicians, court system and other appropriate agencies;
- Enters student data into IEP online;
- Answers phone, channels calls, and operates fax machine;
- Maintains an efficiently-operated office; and
- Tracks and maintains Special Services funding.
- Responsible for Medicaid billing and related reports
QUALIFICATIONS
- Not less than a high school education or general equivalency diploma;
- Knowledge of typing, office machines, and computers; and
- Proficient in receiving telephone calls and meeting the public.
PHYSICAL DEMANDS
This job may require lifting of objects that exceed 25 lbs., with frequent lifting and/or carrying of objects weighing up to 10 lbs. Other physical demands that may be required include stooping and/or kneeling, reaching, talking, hearing, and seeing.
