QUALIFICATIONS:
1. High school diploma or equivalent.
2. Criminal history clearance.
3. Three years of successful secretarial experience.
4. Demonstrated secretarial skills as evidenced by district skills assessment.
SALARY & WORK CALENDAR:
Per the current Administrator & Confidential Compensation and Working Conditions.
Current work year of approximately 260 paid days, subject to change.
POSITION SUMMARY:
Provides professional, confidential administrative and secretarial support to the Director of Human Resources and serves as a liaison between Human Resources, employees, and the public. Responsibilities include processing employee notices, maintaining employee databases and personnel records, and supporting daily Human Resources operations.
ESSENTIAL FUNCTIONS:
- Provides confidential administrative support to the Director of Human Resources.
- Composes, edits, and prepares a variety of documents, correspondence, forms, and reports from rough drafts, or verbal instruction.
- Serves as a primary point of contact for employees, applicants, administrators, and the public regarding Human Resources processes and procedures.
- Maintains accurate employee records, personnel files, and HR databases in compliance with district policies and applicable laws.
- Assist with onboarding, offboarding, and employee status changes.
- Processes Probationary Teacher Contracts, Extra-Duty Contracts, Notices of Intent, Employment Continuation Notices, Work Year Schedules, and other employee notices.
- Processes Personnel Action forms and maintains accurate employment records.
- Processes renewals and maintains records of teacher and administrator licensure.
- Provides support for substitute management systems, employee leave tracking, and other HR systems as assigned.
- Maintains official personnel files, employee records, and candidate databases; compiles and submits required HR reports.
- Processes and maintains volunteer background check records and related documentation in compliance with district policies and confidentiality requirements.
- Participates in district meetings and provides clerical support to administrative and secretarial staff as required.
- Maintains strict confidentiality regarding personnel, financial, collective bargaining, and legal matters.
- Serves as District Notary Public as assigned.
- Demonstrates effective communication skills and maintains professional working relationships with students, staff, parents, and the public.
- Works independently, prioritizing multiple tasks to meet deadlines with accuracy and attention to detail.
- Operates standard office equipment and computers for extended periods.
- Communicates frequently by phone, in person, and electronically as part of daily responsibilities.
