Administrative Assistant - Director of Special Education Programs

Primary Purpose

  • Facilitate the efficient operation of the special education office and provide clerical services to the Director of Special Education Programs. Actively engage in actions that contribute to the overall mission and strategic plan of Clear Creek ISD

Qualifications

Minimum Education /Experience

  • High School Diploma or GED

Specific Knowledge/Skills

  • Proficient work processing and file maintenance skills
  • Ability to maintain confidentiality
  • Ability to work independently
  • Strong organizational skills and knowledge of office procedures
  • Effective communication and interpersonal skills

Minimum Experience

  • Minimum of 3 years secretarial experience, preferably in a public education environment

 Major Responsibilities and Duties

  1. Organize and manage routine work activities and records with little supervision.
  2. Compile information and prepare various reports for the department.
  3. Provide assistance in scheduling professional learning opportunities for the special education department.
  4. Maintain filing and tracking systems for the special education department professional learning opportunities.
  5. Perform varied editing, typing and computer tasks in the preparation of correspondence, forms, manuals, reports, etc.
  6. Process incoming mail for the director.
  7. Maintain filing and tracking systems for the department financial and travel records.
  8. Assist department and staff with reporting absences into AESOP.
  9. Make travel arrangements for department staff.
  10. Ensure confidentiality in dealing with student records, staff records, parents and employees.
  11. Enter, receive, verify and approve payment on purchase orders for administrative staff.
  12. Exhibit CCISD Core Values of trustworthiness, respect, responsibility, fairness, caring, and citizenship.
  13. Actively engage in actions that contribute to the overall mission and strategic plan of Clear Creek ISD.
  14. Stay up-to-date professionally through the selection of quality staff development opportunities for personal growth.
  15. Research district policy, precedent, and current practices prior to taking action.
  16. Participate as an effective team member who contributes to district, department, and content goals.
  17. Demonstrates proficient levels of technology applications.
  18. Participates fully in drills and safety exercises to provide for the safety and overall emotional wellbeing of students.
  19. Utilize time wisely for effective management of job responsibilities.
  20. Maintain punctuality in daily work times, appointments, and meetings.
  21. Meet task completion deadlines established by supervisor.
  22. Maintain friendly customer-service-driven interactions with all stakeholders, students, teachers, administrators, and co-workers.
  23. Work cooperatively with co-workers and supervisors to ensure that the goals of the school/department are met.
  24. Maintain a positive and professional tone in all communication (i.e. email, written, and verbal).
  25. Perform other duties and accept other responsibilities as assigned.
