Responsibilities:
The Office Administrator will work closely with the Area Manager, Program Supervisors, and other corporate personnel at Learn It Systems. The purpose of this position is to oversee all phases of the invoicing process and support management with administrative and office duties.
Position will work from the Learn It office location in Springfield, PA.
Responsibilities include:
- Curate billable hours and enter data onto Excel spreadsheets.
- Manage calculations for various funding sources.
- Track staff absences and school closures for billing purposes.
- Enter relevant funding data onto timesheet detail reports.
- Follow school district invoicing guidelines and deadlines.
- Work with school district officials to garner invoice approval.
- Upload invoices into school district invoicing system.
- Review invoices for accuracy and work with corporate invoicing team as needed.
- Communicate with team members in a timely manner to ensure deadlines are met.
- Maintain accurate records/information to ensure compliance.
- Maintain and develop key relationships with school district personnel to strengthen loyalty.
- Provide weekly/monthly status reports to Area Manager on pending tasks.
- Assist with data entry and other administrative duties as needed.
Qualifications and Experience:
- Associate Degree required, Bachelor’s Degree preferred.
- Must be able to multi-task and be detailed-oriented.
- Microsoft Suite experience preferred.
- Experience analyzing data and building reports required.
- Experience with ongoing communication with all levels of administration.
- Strong oral and written communication skills.
- Must have superior organizational skills.
Skills & Knowledge:
- Evidence of strong customer service experience.
- Strong communication and interpersonal skills; proven ability to manage multiple assignments and projects.
- Must be a self-starter and manage workloads to meet deadlines with minimal supervision.
- Must have a high level of confidentiality and integrity.
- Must be extremely detail oriented and meticulous in document review.
- Must be technology proficient and able to easily navigate Microsoft Suite, including Outlook. Must have extensive experience using Excel and Adobe.
