LEAP Academy University Charter School is seeking a Medical Receptionist Secretary. The medical receptionist/secretary will perform various office and clinical duties to keep our practice running efficiently. The Medical Receptionis Secretary will primarily work at the front desk taking care of tasks such as answering the phone calls, scheduling appointments, verifying appointments, greeting and checking in the patients, updating information in electronic chart, verifying insurances and collecting co pays. When asked to do so the medical assistant will work directly with the doctor and staff to room the patients, record patient's history, take vitals, prepare and administer vaccines, perform recommended screenings and document in electronic medical record (EHR), clean and prepare exam rooms prior to patient appointments and at the end of the day, promote Wellness Center after office hours including some weekend activities

Essential Duties & Responsibilities

  • Prepare waiting room to receive patients, turn on television and make sure waiting room is tidy through the course of the day.
  • Check answering machine for any messages and fax machine for any faxes that need attention.
  • Answer phones and schedule appointments.
  • Maintain all copies of office paperwork and new patient packets.
  • Responsible for scanning all documents into patients' charts.
  • Prepares referrals approved by physician for patients to specialists
  • Open and close a batch daily in AdvancedMD for monies collected and maintain a "Log" for each day to be given to Office Manager at the end of the day along with monies collected
  • Prepare charts for incoming patients' appointments (attach all papers needed for patient's visit).
  • Verify all demographics in patients' electronic chart and update if needed.
  • Check and verify insurance BEFORE patient is seen, usually the day before
  • Call patients one day prior to remind them of their child's appointment.
  • Work the monthly recall list to have patients' schedule their child's appointment.
  • Clinical duties include, but not limited to rooming patients
  • Taking vitals
  • Performing the necessary screenings
  • Administering vaccines
  • Complete all necessary consents and paperwork
  • No employee shall leave before the doctor and/or patients, unless otherwise permitted to do so by Employer.
  • Attend staff meetings 1st and 3rd Wednesday of the month at 8:15 am
  • Attend school functions if requested to do so and help with recruiting patients for the Center either during the scheduled work day or not (including weekends).
  • Performs other related tasks as assigned by the Principal and other central office administrators as designated by assigned by the Chief Medical Officer.

ADMINISTRATION

  • Performs administrative duties as outlined above
  • Collaborates with physician regarding medical history of patient during office visits
  • Helps maintain medical/office supplies in the office

Education & Qualifications

  • Requires CMA Certification
  • Experience working for a healthcare practice or hospital
  • Strong Customer Service Skills and knowledge of HIPAA
  • High Level of professionalism
  • Maintains current CPR certification
  • Pediatric Experience (Preferred)

TERMS OF EMPLOYMENT: 12 month contracted position. Salary, hours & work year to be determined by Board in consultation with Lead Person (Chief Learning Officer).

EVALUATION: Annually according to state statute and rule and Board policy.

SALARY GRADE/RANGE: $40,000.00

STATUS: Non-Exempt
