Position Overview
RR Geotechnical Engineering and LB Engineering are seeking an experienced office administrator to support daily operations in a fast-paced engineering environment. This role requires prior office management experience, strong financial and administrative skills, and the ability to operate independently with minimal direction.
You will report directly to the Office Manager and work closely with the Vice President and CEO. This position plays a critical role in office operations, financial administration, document control, and internal process support.
Responsibilities
Advanced use of QuickBooks, including invoicing, payment processing, account reconciliations, and general ledger support
Accounts receivable follow-ups, collections support, and coordination with clients
Accounts payable coordination, vendor communication, W-9 and COI management, and vendor setup
Payroll administration, timecard entry, labor tracking, and support of monthly close activities
HR and people operations support including onboarding paperwork, offboarding coordination, personnel file maintenance, and PTO tracking
Drafting, proofreading, organizing, version control, and maintenance of contracts, legal documents, and internal agreements
Calendar coordination, meeting scheduling, deadline tracking, and administrative prioritization support for leadership
Document control and compliance support for engineering and administrative records
Service-oriented administrative support for internal teams and leadership
Identifying inefficiencies, proposing process improvements, and assisting with implementation of new systems, workflows, and AI tools
Maintaining confidentiality and discretion when handling financial, legal, and personnel information
Requirements (Must Be a 100% Match)
Previous office management or assistant manager experience required
Strong QuickBooks experience from invoicing through reconciliations
Experience with accounts receivable, accounts payable, and payroll administration
High level of IT and technology proficiency with ability to learn new systems
Extremely detail-oriented with strong proofreading and document accuracy skills
Ability to perform in a fast-paced, high-pressure environment
Self-starter who requires minimal supervision and takes ownership of responsibilities
Team player with a service-focused mindset
Comfortable wearing multiple hats daily
Strong organizational, communication, and time management skills
Experience working directly with executive leadership
Ability to handle sensitive information with discretion and professionalism
