About the Role:
As our Billing & Accounts Recievables Specialist, you're the financial backbone of the customer support team. You own the full billing lifecycle, from the moment a new customer's first invoice is generated through every renewal and transition, and you're responsible for ensuring every transaction is accurate, every communication is timely, and every customer leaves an interaction feeling fairly treated.
You'll work closely with Finance on reconciliation and reporting, and partner with CS and AEs to retain and strengthen customer relationships at every stage. This is a senior role that requires independent judgment, cross-functional influence, and a proactive approach to process improvement.
What You'll Do:
New Customer Invoicing: Process and verify invoices for new customer accounts, ensuring correct plan tier, billing cycle, payment method, and tax treatment are applied from day one. Coordinate with Sales and CS on deal terms that affect billing setup, and proactively identify setup issues before they become customer-facing problems.
Dunning & Collections: Own the dunning workflow end-to-end, monitor failed payments, execute retry sequences, send dunning communications at each stage, and work directly with customers to resolve payment issues before accounts lapse.
Prorated Adjustments (Seat & User Changes): Ensure adjustments are reflected accurately in the next invoice and communicated clearly to the customer. Own the documentation and consistency of proration logic across account types.
Partner Invoice Auditing: Review and reconcile partner-sourced invoices for accuracy, catching discrepancies in seat counts, billing periods, or contracted rates before they reach Finance.
Billing Reports: Generate and distribute regular billing reports for leadership, including MRR changes, overdue balances, refund activity, and churn-related billing events. Flag anomalies, surface trends, and bring actionable insights to leadership rather than simply reporting the numbers.
Adjustments & Offboarding: When a customer requests a billing adjustment or chooses to offboard, craft creative offers for internal review that demonstrates a loyalty-first mindset. The goal is to ensure every customer who offboards does so feeling valued, and every customer who stays does so with renewed confidence. Handle each situation with care, speed and where appropriate, set the stage for referrals and resubscription when their circumstances change.
What We're Looking For:
- 3 years in a billing or AR role with a desire to own the billing process for the company
- Deep hands-on experience with subscription payment processing platforms (such as Stripe, Recurly, or similar)
- Advanced Excel skills; comfort with complex reconciliations
- Expert-level understanding of subscription billing concepts: proration, billing cycles, dunning strategy, MRR/ARR
- Proven ability to manage competing priorities with minimal oversight in a fast-moving environment
- Strong written communication; able to translate complex billing situations into clear, confident customer-facing language that builds trust
- A track record of balancing revenue protection with genuine customer care, and proposing solutions that serve both
- Experience pulling, interpreting, and presenting billing reports
Nice to Have:
- Experience working with SaaS or subscription-based billing
- Experience with a CRM (Salesforce or other)
- Familiarity with SaaS churn metrics, retention playbooks, and customer lifecycle strategy
- Experience building or improving billing processes from the ground up
