What are the responsibilities and job description for the Human Resource & Office Administrator position at Lawrence Douglas County Health Department?
The Human Resource & Office Administrator is a full-time position which will be responsible for supporting the Executive Director and serving the organization by providing administrative assistance and facilitating human resource processes within the Health Department.
Essential Job Functions
Provide administrative support to include:
- Prepare agendas and maintain calendar for Executive Director.
- Administrative support to the organization.
- Maintain and audit records, documentation, and files, particularly more complex or sensitive/confidential files such as employee files.
- Provide administrative support for Board and staff events, including but not limited to:
- Scheduling
- Note taking
- Agenda distribution
- Event planning/hospitality
- Timely response to inquiries for information to LDCHD clients, staff, community partners and others as requested.
- Create or prepare correspondence, memos and other office communications.
- Oversee telephone services, email correspondence, and mail distribution.
- Liaise with partner agencies located in the building
- Communicate and interact with agency contacts: government officials, Board members, community organizations and the general public.
- Direct office activities and functions to maintain efficiency and compliance with company policies.
- Assist employees with conference/work-related travel and registrations.
- Organize and purchase agency resource materials (i.e. office supplies, program-specific supplies, etc.)
Provide Human Resources coordination and support, including but not limited to:
- Performs customer service functions by answering employee requests and questions and maintaining confidentiality
- Completes I-9 forms and maintains I-9 files.
- Submits online requests for new-employee background checks and other investigative checks.
- Assists with processing of employee status changes and terminations.
- Assists with the preparation and communication of the performance based review process.
- Assists with recruitment and interview processes:
- Tracks status of candidates in HRIS throughout the process
- Schedules phone screens and interviews
- Updating Hiring Manager and HR Consultant
- Corresponds as candidate status changes.
- Schedules HR meetings and trainings as requested
- Makes photocopies; mails, scans and emails documents
- Maintains employee personnel files
- HRIS system maintenance and updating as needed
- Coordinates New Hire Orientation and Onboarding activities
- Coordinates communication from EAP vendor
- Perform other related duties as assigned.
