Job Summary
We are seeking a dynamic and highly organized Part-Time Landscape/Hardscape Office Manager. This pivotal role combines office management, financial oversight and vendor coordination to ensure smooth daily operations. By managing daily schedules, overseeing bookkeeping and payroll, and supporting HR initiatives, you will help foster an efficient, welcoming, and productive workplace.
Responsibilities
- Oversee daily office operations, prepare workers for daily schedule, answer phone calls and voicemails for potential new clients, and front-facing customer service.
- Coordinate calendar management for all team members, schedule owner for estimates and appointments and create estimates to send to potential new customers.
- Manage vendor/client relationships by negotiating contracts, create invoices via QuickBooks and ensuring timely AR payments.
- Handle bookkeeping duties; process both AP and AR , filing financial documents and maintaining accurate records for all vendors and customers.
- Oversee human resources functions including onboarding new employees, maintaining personnel files, managing Paychex payroll processes, and ensuring compliance with employment policies.
- Make daily deposits to local bank
Requirements
- Proven experience in office management or administrative roles within a professional environment.
- Supervising experience with the ability to lead teams effectively and foster a collaborative work culture.
- Strong proficiency with QuickBooks or comparable accounting software for bookkeeping and payroll management.
- Excellent organizational skills with the ability to manage multiple calendars, schedules, and priorities efficiently.
- Demonstrated vendor management skills including contract negotiation and relationship building.
- Knowledge of human resources practices such as employee onboarding, training & development programs, and HR compliance standards
- Exceptional communication skills paired with professional phone etiquette for interacting with clients, vendors, and team members.
