Responsibilities
- Manage attorney calendars, appointments, court dates, and deadlines
- Enter and maintain case information within the firm's case management software, including document generation, file maintenance, and case updates
- Answer and direct incoming client calls
- Open, maintain, and organize electronic and physical case files
- Process incoming and outgoing mail
- Support litigation activities by managing court filings, scheduling hearings, and coordinating with external firms and court
- Scan, upload, and electronically organize documents
- Maintain accurate records within case management software
- Assist with client communications and follow-up
- Request and organize medical records and bills
- Draft routine correspondence and legal documents
- Schedule appointments, depositions, mediations, and hearings
- Assist with document preparation and e-filing
- Maintain confidentiality of all client information.
Skills
- Prior legal secretary, legal assistant, or law office experience required.
- Experience in legal administrative functions including filing, document review, data entry, and case management.
- Proficiency with case management software such as Neos, Needles, Filevine, Clio, SmartAdvocate, or similar platforms.
- Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and Teams.
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
- Strong telephone, client communication, and interpersonal skills.
- Excellent organizational, multitasking, and time-management abilities.
- Ability to prioritize tasks, work independently, and meet deadlines in a fast-paced environment.
- Litigation experience preferred but not required.
