What are the responsibilities and job description for the Legal Assistant/Receptionist position at Law Offices of Glenn & West, LLC?
We are in need for a legal assistant to work fulltime – five days per week, Monday through Friday from 8:30 AM to 5:00 PM. Below are some of the responsibilities of the position.
- Greeting and welcoming guests and/or clients to the firm.
- Keep the front office and conference room neat and orderly.
- Answering incoming calls and directing calls to the appropriate staff member.
- Proactively contacting clients, other law offices, the court, and vendors for a variety of reasons.
- Thoroughly and accurately performing conflict checks on potential clients through case management systems prior to scheduling consultations.
- Scheduling appointments, sending appointment reminders, and making sure clients have all necessary documents prior to appointments.
- Completing initial intake procedures with potential clients, sending intake emails, and ensuring payment in advance of appointments.
- Following up with new consultations to ensure intakes have been completed and payment has been made.
- Making our clients feel valued by providing efficient and timely customer service.
- Maintaining office calendar (Google calendar), including ensuring that conference rooms and attorneys are not double booked and tracking deadlines.
- Using email through Google’s Gmail system.
- Using the firm’s file protocols and procedures, opening new files, and closing completed files.
- Filing and scanning documents into document management systems and filing documents in physical files.
- Maintaining and organizing electronic and physical files.
- Preparing pleadings, orders, other court documents, and correspondence.
- E‑filing documents with the Court and downloading file‑stamped documents after clerk’s acceptance (knowledge of Odyssey/Tyler systems is a PLUS).
- Maintaining office supply list and determining when office supply orders are necessary.
- Signing for packages being delivered, verifying document/items match the delivery, delivering packages to appropriate place/person, and putting all supply orders away in a timely manner.
- Provide various administrative support for legal assistants, office manager, and attorneys.
Knowledge, Skills and Abilities:
- Maintaining confidential and sensitive information learned from clients, staff, and other lawyers.
- Significant ability to maintain composure during periods of high stress or conflict.
- Outstanding professional phone presence with ability to quickly and accurately ascertain the level of urgency of each call.
- Ability to remain calm, kind, and authoritative over the phone and in person.
- Multi‑phone systems knowledge.
- Excellent oral and written communication skills, including the ability to give clear instructions to clients and to vendors.
- Excellent organizational capabilities and ability to prioritize deadlines.
- Ability to effectively organize and prioritize work.
- Ability to work independently with little to no supervision, including to resolve issues/problems.
- Willingness and ability to follow written and oral instructions.
- Keyboarding skills with an ability to input data with a minimum of 50 wpm.
- Dependable, consistent work attendance.
- Strong technology skills, including proficiency with:
o Microsoft Office applications;
o Adobe Pro;
o Knowledge of basic IT skills;
o Ability to operate photocopiers, digital facsimiles, and other general office equipment; and
o Tracking billable hours in 6‑minute increments; entering all billable hours completed on a given day into the designated timekeeping software the same day.

Pay: $15.00 - $17.00 per hour
