Job Summary
The Administrative Assistant provides essential support to the attorney by managing the office’s daily operations, drafting legal documents, and serving as the primary point of contact for clients. The role requires high-level organizational skills and the ability to handle litigation-heavy workloads.
Key Responsibilities
1. Document Preparation & Typing
- Drafting: Transcribe and type legal contracts, briefs, and litigation-related documents.
- Proofreading: Ensure all outgoing legal documents are error-free and formatted according to court standards.
- Filing: Prepare and file legal papers with local, state, and federal courts.
2. Office Coordination
- Scheduling: Manage the attorney's calendar, including court dates, depositions, and client meetings.
- Communication: Handle incoming calls, greet clients, and manage email correspondence professionally.
- Organization: Maintain physical and digital filing systems to ensure quick access to case files.
3. Client Interaction
- Act as a liaison between the attorney and clients, providing status updates on cases when appropriate.
- Intake new clients and gather necessary preliminary documentation for legal matters.
Required Qualifications
- Technical Proficiency: Strong typing skills and mastery of Microsoft Office (Word, Excel, Outlook).
- Legal Knowledge: Familiarity with legal terminology and litigation procedures is highly preferred.
- Soft Skills: Exceptional attention to detail, strong verbal communication, and the ability to handle sensitive information with discretion.
