The Law Office of Scott David Thomas is seeking two individuals to join our team in Administrative/Legal Assistant roles.
We are a rapidly growing civil litigation firm located in the heart of downtown San Diego. Our practice primarily focuses on Landlord-Tenant Law, Premises Liability, and Personal Injury matters, including but not limited to habitability claims, unlawful detainers (on both the landlord and tenant side), complex litigation against corporate landlords, complex premises liability litigation against individual landowners, insurance companies, corporations, and governmental entities, and civil litigation involving governmental entities such as school districts, state colleges, and city governments.
This position is in-person only.
This area of law requires extremely strong organizational skills, as the cases we handle involve a heavy front-end workload and require close attention to detail from the outset.
Responsibilities
- Client intake and gathering initial case information
- Case file management
- Answering phones and communicating professionally with clients, courts, and opposing parties
- Supporting attorneys and their litigation legal assistants
- Handling Medicare, Medi-Cal, and insurance lien submissions.
- Managing calendars, deadlines, and appointments
- Preparing, organizing, and filing legal documents
- Preparing and coordinating proofs of service
- Handling scanning, emailing, mailing, and document management
- Maintaining physical and digital client files
- Assisting with follow-up communications and office correspondence
- Supporting general office administration and day-to-day operations
Office Qualifications
- Strong organizational skills and attention to detail
- Excellent written and verbal communication skills
- Ability to manage multiple tasks and deadlines
- Comfortable working in a fast-paced legal environment
- Prior law office or administrative experience preferred, but not required for the right candidate
- Familiarity with Microsoft Office, Google Workspace, and basic office technology
- Self-starter
- Dependable and punctual
- Able to work independently and follow instructions carefully
- Strong judgment and professionalism
- Comfortable dealing with sensitive and sometimes emotional client matters
Legal Experience Qualifications
- Experience with and understanding of the unlawful detainer process, including but not limited to preparing and filing unlawful detainer forms
- Experience conducting client intake, gathering initial information, and creating internal memos for attorney and litigation legal assistant review
- Medical insurance lien submissions (Medicare, Medi-Cal, etc.)
