Front Office Receptionist
The Front Office Receptionist serves as the first point of contact for clients at an immigration law firm. This role is responsible for greeting clients, managing incoming communications, scheduling appointments, and providing administrative support while maintaining a welcoming, professional, and culturally sensitive environment.
- Greet clients and visitors in person with professionalism and courtesy
- Answer and route incoming phone calls, emails, and messages
- Schedule, confirm, and manage client appointments and consultations
- Collect basic client information and intake forms
- Receive, date-stamp, and organize incoming documents and mail
- Maintain a clean, organized, and welcoming reception area
- Communicate case status updates as directed by attorneys or legal staff
- Accept payments, issue receipts, and update billing records (as applicable)
- Assist with data entry into case management systems
- Coordinate with attorneys, paralegals, and legal assistants to ensure smooth office operations
- Follow confidentiality and data privacy requirements
- Fluent in both English and Spanish
- High school diploma or equivalent (associate’s degree preferred)
- Prior experience in a receptionist or customer service role (legal or immigration office preferred)
- Strong verbal and written communication skills
- Excellent organizational and multitasking abilities
