Our growing three-attorney law firm is seeking a highly organized, dependable, and professional Office Administrator to support the daily operations of our busy practice. This role is ideal for someone who thrives in a collaborative office environment, enjoys multitasking, and takes pride in providing exceptional administrative and client support. The position offers approximately 35–40 hours per week in our office
Key Responsibilities
- Manage office supplies, equipment, and general administrative operations.
- Answer and direct incoming phone calls, emails, and correspondence in a professional
manner.
- Schedule appointments, meetings, seminars, and maintain attorney calendars.
- Organize and maintain both electronic and physical filing systems, including CLIO,
Simplifile, Google Drive, and Microsoft OneDrive.
- Provide administrative and secretarial support to attorneys as needed.
- Maintain positive client relationships through clear communication and professionalism.
- Assist attorneys during client meetings by scanning, organizing, and storing documents,
as well as preparing client packages.
- Prepare basic legal correspondence, deeds, probate forms, and other supporting
documents.
Qualifications
- Previous experience in office administration or a similar support role, preferably in a
legal environment.
- Strong organizational, multitasking, and time management skills with the ability to meet
deadlines.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel) and Google Calendar.
- Strong attention to detail and accuracy.
- Ability to work both independently and collaboratively within a team setting.
Preferred Qualifications
- Experience using CLIO or other legal case management software.
- Familiarity with Simplifile and QuickBooks.
- Knowledge of legal terminology, procedures, and office practices.
- Basic understanding of residential real estate transactions and probate law.
- Experience supporting attorneys with buyer, seller, and lender transactions is a plus.
