This person should be comfortable operating in a fast-paced environment, anticipating needs, handling sensitive information, and working closely with senior executives across the organization.
Responsibilities:
Executive Support & Calendar Management

- Prioritize meetings, resolve scheduling conflicts, and help ensure the CEO’s time is aligned with the company’s most important priorities.
- Coordinate internal and external meetings with executives, employees, partners, and other key stakeholders.
- Manage domestic and international travel, including itineraries, accommodations, transportation, and schedule changes.
- Prepare the CEO for meetings and engagements by ensuring relevant materials, context, and information are organized and readily available.
Communications & Executive Coordination
- Help manage and organize email and other communications, identifying priorities and ensuring important items receive appropriate follow-up.
- Track key commitments, deadlines, decisions, and follow-ups on behalf of the CEO.
- Serve as a professional and responsive point of contact for internal and external stakeholders.
- Handle sensitive and confidential information with exceptional judgment and discretion.
- Coordinate closely with members of the executive team and their respective teams to support effective communication and execution.
Presentations & Meeting Preparation
- Develop and prepare polished presentations, decks, briefing materials, agendas, and other executive communications.
- Gather and synthesize information from across the organization to support executive meetings and presentations.
- Coordinate key leadership meetings, including agendas, materials, logistics, and follow-up.
- Support preparation for board meetings, company presentations, and other high-level engagements as needed.
Special Projects & Executive Initiatives
- Support special projects on behalf of the CEO including research, information gathering, project coordination, and tracking deliverables.
- Take ownership of discrete projects and assignments, working independently to move them from initial direction through completion.
- Coordinate with other executives and functional leaders on cross-functional projects and deliverables as needed.
- Help ensure key initiatives remain organized, on track, and appropriately communicated.
- Identify opportunities to improve the systems, processes, and workflows surrounding the CEO and executive team.
Qualifications
- 3 to 5 years of experience providing executive support, ideally to a CEO, President, founder, or other C-suite executive.
- Demonstrated experience operating beyond traditional administrative support and independently managing projects and executive priorities.
- Exceptional organizational and time-management skills with the ability to manage multiple competing priorities.
- Strong judgment and ability to appropriately assess urgency, importance, and confidentiality.
- Excellent written and verbal communication skills.
- Strong presentation skills with experience creating polished executive-level presentations in PowerPoint and/or Google Slides.
- Ability to synthesize information and turn rough direction, notes, or ideas into clear, professional materials.
- Strong project management skills and demonstrated ability to drive assignments through completion.
- High degree of discretion and professionalism when handling confidential or sensitive information.
- Proactive and anticipatory working style with the ability to identify needs and next steps before being asked.
- Strong interpersonal skills and confidence working with senior executives and stakeholders at all levels.
- Ability to remain calm, flexible, and solutions-oriented in a fast-paced environment with changing priorities.
- High proficiency with Google Workspace and/or Microsoft Office.

- Meetings and executive engagements are organized, prepared for, and followed through on effectively.
- The CEO is able to delegate projects and assignments with confidence that they will be driven to completion.
- Executive presentations and materials are consistently polished, accurate, and delivered on time.
- Important commitments, decisions, and follow-ups do not fall through the cracks.
