Job Title: Legal Assistant
Hours: Flexible schedule, but main hours during Monday - Friday, 9:00 AM - 5:00 PM
Position Overview: Our growing law office is seeking a reliable and organized Legal Assistant to join our team. The ideal candidate will be responsible for maintaining workflow efficiency for the attorneys, managing client communications, creating drafts of legal documents and providing excellent client service. This role is crucial for ensuring smooth daily operations and a welcoming environment for our clients.
THIS ROLE WORKS WITH REAL ESTATE TRANSACTIONS - must pay attention to details and be able to respond to clients in a timely manner.
Key Responsibilities:
- Attorney Support:
- Maintain client files and drafts.
- Prepare Deeds and underlying paperwork and affidavits as instructed.
- Assist in meeting client deadlines by tracking attorney case load.
- Client Interaction:
- Greet clients warmly and assist with their inquiries.
- Schedule appointments and manage the attorney's calendar.
- Handle incoming and outgoing communications, including phone calls, emails, and mail.
- Administrative Support:
- Prepare and organize legal documents and correspondence.
- File, copy, and scan documents as needed.
- Assist with data entry and maintaining client records.
- Workflow Maintenance:
- Monitor and manage workflow to ensure timely completion of tasks.
- Coordinate with team members to facilitate efficient office operations.
- Perform general clerical duties such as photocopying, faxing, and mailing.
Qualifications:
- High school diploma or equivalent required; associate degree or higher preferred.
- Previous experience in an office or administrative role, preferably in a legal setting.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Certified Notary Public License is a plus.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal skills.
- Ability to work independently and as part of a team.
- Attention to detail and problem-solving skills.
- Knowledge of basic legal terminology is a plus.
Job Type: Full-time
Pay: $20.00 - $25.00 per hour
Expected hours: 40 per week
